How to connect Maildoso with Saleshandy (step-by-step instructions)

Introduction

Email deliverability is a key factor in any outreach campaign. If your emails don’t land in inboxes, your efforts are wasted, and scaling becomes harder.

Controlling your deliverability is important to getting the best results from any outreach tool, like Saleshandy. This starts with creating and warming up email accounts. However, strict guidelines from ESPs like Gmail and Microsoft can make inbox placement challenging.

Maildoso, a Private Email Infrastructure tool, helps overcome these barriers, giving you control over deliverability. This guide will show you how to set up your email accounts with Maildoso for better inbox placement using Saleshandy.

Maildoso & Email Account Setup

When talking about deliverability, you need to play strategically. Sending bulk emails from a single domain and expecting results from a "spray and pray" approach is no longer effective. ESPs have become more intelligent and thoroughly verify your actions.

Before setting up your email accounts and diving into the deliverability checklist, it’s essential to figure out the following:

  • How many emails do you want to send?

  • How many email accounts do you need?

  • How many domains are required?

Here’s a quick calculation to help you prepare beforehand, even before signing up for Maildoso.

Determine Required Domains & Email Accounts

To begin with, calculate your domains and email accounts using the email account calculator.

Before playing with numbers, it's important to note that the recommended practice is not to send more than 50 emails per day from one email account. This practice helps prevent you from getting trapped in spam filters.

Experimentally, it has shown better open rates and deliverability.

Steps:

  1. Visit the Email Account Calculator - Saleshandy.

  2. Make a copy of the Google sheet.

  3. Fill in the “Number of prospects” you want to reach.

  4. Select the duration from the drop-down.

  5. The bottom field named “Results” will show you the recommended domains.

The formula for how it works:

  • Total emails per day / 50 = Number of required email accounts

  • Number of required email accounts / 5 = Number of required domains

Note: Keeping five email accounts per domain is best to ensure the best deliverability.

For example, if you want to send 100, 1,000, or 10,000 emails daily, you would need the following based on the same formula.

Now that you’ve figured out how many email accounts and domains you need to buy from Maildoso let’s explore which domain names are preferred for achieving high deliverability.

Choosing Secondary Domains

When doing outreach, be prepared for the worst. Sometimes things go wrong—like when your domains get blacklisted or blocked. If your primary domain (used for business or your website) is affected, it can cause major issues.

Buying secondary domains is wise—ones similar to your primary domain.

After you’ve decided what secondary domains to go for, we can jump into Maildoso.

Sign-up for Maildoso

Maildoso is a cold email infrastructure platform where you can purchase domains and create email accounts. It’s designed to manage your email accounts and control your deliverability infrastructure—rather than relying on public ESPs like Gmail or Outlook.

It typically offers custom servers, IP addresses, domains, and tools to manage email deliverability, inbox placement, and sender reputation.

Signing up for Maildoso is simple.

Just visit the website and click the big blue button to create your account.

The second step after you sign up for Maidoso is to select the most suitable plan for your outreach.

To select the best plan, you refer to the email account calculator discussed in the earlier section to know your requirements and make a better decision.

Proceed with the checkout by choosing either a monthly or annual payment plan.

You need to fill in your email address, credit card information, and country (you can tick the checkbox for 1-click checkout if you prefer).

Finally, subscribe, and let’s enter Maildoso's dashboard.

Mailbox Setup

When you sign up, you will have a search bar and enter the Maildoso dashboard.

You now have to choose your domain names (secondary domains). We already discussed how to do this.

So, let’s say we want to generate 4 domains with keywords like outboundsystem, outbound systems, maildoso, and maildoso.com

Now proceed to generate domain names.

Maildoso will show you the list of available domains you choose to go ahead with the mailboxes in a while. For example, for the keywords above, you will get results that you should get in the image.

It’s easy to pick domains from the list.

Just choose the domain you tick off the checkbox.

One important step before creating email accounts is redirecting your secondary domains to the primary ones.

If you’ve primary maildoso.com, redirect all domains to the original domain.

(When a prospect logs in to the secondary domain, he will be redirected to your original website. So you don’t have to go through the pain of creating multiple pages for each domain.

Also, it helps you prevent 404 errors when your website is unavailable in a particular domain, which harms your deliverability.)

Email forwarding will start working in 10-15 minutes.

As a next step, press Continue. Here, you can recheck the domain name spelling, and when confirmed, proceed to Register your domains.

Registering your domains will take some time (usually, a few minutes).

Your domains are now registered.

On the next page, you’ll need to create the mailboxes.

Maildoso allows you to create a maximum of 5 email accounts from 1 domain. This recommended practice enables you to maintain your reputation per domain and not exceed your daily sending limits.

As you enter the required first and last names for your mailboxes, Maildoso will quickly generate combinations of various mailbox names using the domains you have already registered.

You can check the list and confirm your mailboxes to prevent any errors.

After you press continue, it won’t take much time for Maildoso to create mailboxes for you.

All your mailboxes are now created. Maildoso manages its infrastructure and deliverability, including SMTP. So, compared with public ESPs like Google and Outlook, you get an advantage over private mailboxes.

All you need to do is click “Export to CSV.” This will help you create and manage multiple mailboxes in bulk, saving you much time. When you click the button, choose Saleshandy from the dropdown. Now, you can download the CSV and be prepared to fire up Saleshandy to send your cold emails.

You can check the different columns of the CSV for email accounts and SMTP details.

Sign-Up for Saleshandy

To kick off the outreach and use Maildoso in Saleshandy, let’s start by creating a Saleshandy account.

You can visit Saleshandy and navigate to the big blue button on the website. Create a free account.

Let’s jump on to the things next on your checklist.

Here’s the landing page of the dashboard when you first enter after the sign-up.

The first thing you need to tick off from the onboarding checklist is to verify your email so you can use Saleshandy’s services uninterrupted.

Check your email account for a verification email, and click on the verification link to proceed.

Now, we can set up the email accounts or mailboxes we procured from Maildoso.

Connect Mailboxes to Saleshandy

It’s now simple to connect your mailboxes procured from Maildoso.

Follow the instructions:

1. Click on the Settings tab from the window's left pane.

2. Proceed and click Email Accounts

It will open a popup to give you options to connect your email accounts.

You can choose Bulk Import via CSV, which helps you upload all the email accounts in bulk. Now, the sheet we downloaded from Maildoso would come in handy.

Choose the file from your system. (Make sure to read the guidelines once for any additional steps required)

Now, there's one more step. Just click on the big blue button Connect, and all your email accounts will be uploaded to Saleshandy in a single click.

You will shortly receive an email confirming the status when your email accounts are connected without any error.

If you receive any error while connecting your email accounts, you can:

  1. Recheck the format of the CSV file

  2. Read the error and search FAQs to troubleshoot

  3. Reach out to our support team and initiate a chat

You can set up your outreach once you’ve successfully imported the email accounts in Saleshandy.

Deliverability Setup in Saleshandy

Nothing can be more important than landing in the prospect’s inbox!

If you can’t get noticed, there’s no point in doing cold outreach.

The major test during the first 15-20 days of your cold emailing is to ensure that all your emails (or at least 95%) land in the target inbox.

Therefore, let’s take on the challenge of gaining > 95% deliverability within 15 days of creating your email accounts so you can start cold emailing with a high sending reputation.

Let’s see what the first step is.

Step 1: Enable email to ramp up

Please follow the ramp-up process slowly to make sure your email accounts can send emails to the inbox.

An email ramp-up helps gradually increase your daily sending limit.

To enable email ramp-up in Saleshandy, go to settings > email accounts, select an email account, and toggle on the settings.

You can set ramp-up settings for email accounts in bulk while uploading your email accounts via CSV and update the email account settings.

Step 2: Set up an interval between each email.

One essential trait for better deliverability is that your email should look like a human sent it.

Setting up intervals between each email to make it look like human outreach is important.

Step 3: Setup technical records with Maildoso (Maildoso takes care of it)

Maildoso takes care of your domain records like SPF, DKIM, or DMARC, so you don’t have to do it for your connected domains in Saleshandy manually.

However, you can use the following guide for external domains (not Maildoso) or your email accounts with Saleshandy.

ESP trusts you when you have set up your technical records for each domain you connect with Saleshandy.

Step 4: Setup custom tracking domain with Maildoso

Email deliverability depends widely on how you track your emails using the links you share with your audience. It affects your domain reputation and branding significantly.

Therefore, setting up your custom tracking domain is essential to double down on deliverability and reputation.

To enable a custom tracking domain in Maildoso, you only need to activate Global Custom Tracking.

Visit the profile picture and click on it. Toggle on the Global Custom Tracking.

Maildoso handles the custom domain tracking at their end, so you won’t need to worry about setting it up alone.

But in some cases where manual setup is required, you can follow the given steps.

  1. Visit your settings and click on "Custom Tracking Domain."

  2. Next, click on the blue button "Add Custom Domain."

  3. It would open a dialogue box. From there, "select" the email account you want to set custom tracking.

  4. Next, insert the custom tracking domain created in the previous step, like trk2.{domain}. For example, if you’ve procured a domain such as prosaleshandy.com from Maildoso. Then, your custom tracking domain would be trk2.prosaleshandy.com.

  5. Saleshandy will automatically trace the host.

All you need to do is to verify and save it.

Step 5: Use the email warm-up tool (Also Connect with Maildoso)

Another important aspect of getting high deliverability is making your inbox activity human-like. When you create email accounts, ESPs examine your email activities.

Therefore, it’s essential to act like a human.

Email warm-up tools help you interact with your inbox, gradually helping you increase your sending reputation.

One of the best tools to start your email warm-up activities is TrulyInbox.

Here’s how to connect your email accounts with TrulyInbox and enable email warm-up on automation. Your inbox will start receiving from and sending emails to a pool of warmed-up and safe inboxes.

You can easily filter your warm-up emails in the master inbox. Log in to Maildoso and click “Warm-up Filters” in the header.

You only need to click on TrulyInbox to activate it. To ensure TrulyInbox emails are filtered, you can place the tag Phone_N0.

Step 6: Automate deliverability test

Ensure 95% of all emails land in the inbox during the 15 days. How will you know how emails behave and how your different ESPs receive them?

That’s where the Deliverability Test comes into play.

Step 7: Content type

Deliverability is not only about setting technical records and ramping up your emails. However, it also highly depends on the nature of the content you deliver to your prospects.

  • Keep your emails plain and simple

  • Avoid using HTML templates or any tags in the content

  • Keep your emails short, 70-120 words long.

  • Use no spammy words (Let’s check in detail the next day).

  • You can use images/GIFs - but first, A/B test if it’s working for you

Step 8: Use a mix of merge and spintax tags

Here’s a magic recipe that even top cold emailers miss out 😋

MULTIPLIER EFFECT 🪄

Deliverability setup at the end is all about how MORE HUMAN you can make your outreach.

Creating a multiplier effect allows you to create a unique email for each prospect in your list.

Spintax is a fantastic feature in Saleshandy that lets you create variations of sentences or words in your emails – making your cold outreach more personalized and diverse.

You can include multiple words or phrases between {spin} and {end spin}, separated by a vertical line | (pipe) to use Spintax.

For example:

Step 9: Enable Sender Rotation

Last but not least, here comes another secret from the box. As I said, it’s all about making things more human.

After all the day-long setting up your deliverability, it’s time to revisit Saleshandy.

In the previous example, we discussed the need for 40 email accounts to send emails to 30,000 prospects. We added them in Saleshandy using the bulk method.

But, if all the emails associated with your outreach send the same volume, turn by turn, it can raise a flag of suspicion and suffer a low deliverability.

It’s important to note, “how do you send your emails?”.

Sender Rotation allows you to send large volumes of emails in a distributed and human manner, signaling to ESPs that you are not sending bulk emails to a random audience.

Every email account connected with Saleshandy’s sequence would take a turn and send emails at frequent intervals.

  • Create a Sequence (we’ll talk about this later in detail)

  • Go to Settings > Add Email Accounts

  • You can find the list of all email accounts connected to Saleshandy

  • Select them and connect them with your sequence

  • This would automatically enable the Sender Rotation whenever you turn on the sequence

Step 10: Check Sequence Score

Sequence Score allows you to see how you've set up your records, delivery, copies, and other stuff for the best results.

Make your Sequence Score “Very Good” to get the best results.

Tip💡 Sequence Score allows you to check beforehand how your outreach would perform. Instead of learning after sending cold emails, let’s fix it before sending the outreach 😃

Step 11: Disable open tracking (Recommended for best performance)

Recently, Gmail updated its policy regarding open tracking pixels, notifying users when an email with open tracking is switched on.

Although Saleshandy already has a fix, we recommend keeping open tracking disabled to get results.

You can focus on the deliverability practices and make your outreach more outcome-driven.
