Step 1️⃣ Setup your Salehandy Account

📌 Quick Note: So, Saleshandy has Two Types of Email Addresses you need to know about. It's like having a secret identity and a superpower – both are special! 🦸‍♂️

💡And guess what? Both Login & Email Service Provider Emails can be Different.

Step 2️⃣ Connect your Email Account

You can connect your Email Account in Two ways, actually Three.

  1. Google/Microsoft Native Integration

  2. SMTP/IMAP

  3. Bulk SMTP/IMAP

To Add your Email Account: Settings > Email Accounts > Add Email Account. Follow the Steps mentioned below and open the articles in a new tab while keeping this tab open.

Step 3️⃣ Setup DNS Records

You need to set up two DNS Records primarily.

  1. SPF

  2. DMARC

⚠️ Important: Setting the SPF & DMARC record is not applicable if you use a free email account like gmail.com, outlook.com, or yahoo.com. You can set it up only using a business email with your domain attached (i.e., [email protected]).

Note: The examples below assume that Google is your domain and mail provider.

How to Set up SPF Records?

If SPF records are missing, you must create a new TXT record. Hence, you will need access to your domain's DNS manager.

If SPF records are missing, you must create a new TXT record. Hence, you will need access to your domain's DNS manager.

  1. Sign in to your domain account (In our case, it's Google domains). In your case, this might be GoDaddy, Squarespace, Namecheap, etc.

  2. Go to the DNS page to update your domain’s DNS records, DNS Management, Name Server Management, or Advanced Settings.

  3. Please check with your IT and/or provider if your domain already has an SPF record. Find your TXT records and check if your domain has an existing SPF record.

    The SPF record starts with “v=spf1…”.

  4. Create a TXT record with these values:

    • Name/Host/Alias - Enter @ or leave blank

    • Time to Live (TTL) - Enter 3600 or leave the default.

    • Value/Answer/Destination - Enter v=spf1 include:_spf.google.com ~all

  5. The DNS manager should have only one SPF record, even if the user uses multiple Email service providers. So, deleting the one that is already there is not always the best choice since it might cause issues with other tools you're using. Instead, you want to include more providers in your existing SPF.

Example: Let's say that you already have an SPF that includes Google at the moment.

v=spf1 include:_spf.google.com ~all

If your email provider is not Google, please double-check with your email provider what is the correct value to use; we cannot confirm on our end.

You'd like to include Zoho in this SPF since Zoho is your email provider. You want to modify the existing SPF, which now looks like this. This can take up to 72 hours to reflect.

v=spf1 include:_spf.google.com include:_spf.zoho.com ~all

How to create a TXT record in the common DNS providers.

How to check if my SPF is set correctly?

You can go to this website and enter the domain of that email address. If it shows a green checkmark next to SPF ✅, it means an SPF record has been added to that domain, but it doesn’t necessarily mean it is correct. You can click on SPF, and it will show the SPF value added in the DNS manager. You can review that value to check whether the SPF value is correct or not.

How to Setup DMARC Records?

If DMARC records are missing, you must create a new TXT record. Hence, you will need access to your domain's DNS manager.

  1. To generate a DMARC record value for your domain, open this website & enter your domain & click Submit button.

  2. If your domain doesn't have a valid DMARC, it will display an X next to DMARC. In that case, you can click the NEXT button to generate a preferred DMARC record.

  3. In the end, you will see a text value generated. You can copy the value displayed.

  4. You can log in to your DNS provider and locate the area where you can manage your DNS records.

  5. Add a new TXT record to your DNS records.

    The name of the record should be "_dmarc" and the value should be the text file containing the DMARC record.

    Name: _dmarc

  6. Save the changes and wait for the DNS changes to propagate.

Note: The maximum wait time to let the DMARC reflect is 1 hour. Hence, if it does not reflect, please wait for 1 hour, and you will see it verified :)

How to check if an email account has DMARC set correctly?

Step 4️⃣ Setup Custom Tracking Domain

1️⃣ Pick a domain

When you’ve purchased or picked an existing domain, it's necessary to create a subdomain for it. For example, if you have a domain with the name examplehq.com, you can create subdomains like link.examplehq.com or go.examplehq.com using CNAME records.


2️⃣ Create a CNAME record in the DNS manager

Once you've picked up a domain or registered a new one, let's proceed and set a CNAME record for your domain. You will find this in the "DNS Settings" of your chosen registrar. (we have chosen GoDaddy here, attached a list of popular domain registrars at the bottom)

It's easy to create a new CNAME type record using the details.

Note: When you choose a host as "go" for the domain getsaleshandy.com, your custom tracking domain would be go.yourdomain.com; in our case, it's go.getsaleshandy.com, pointing to watch.saleshandy.com. And Save it.

Note: Sometimes, it will take only a few minutes to propagate it, but It may take up to 72 hours to propagate your CNAME record. Therefore, after setting your record in step 2, you can verify whether your DNS changes are updated.

Step 5️⃣ Setup Email Signature

  1. Log in to your Saleshandy web app at my.saleshandy.com.

  2. Navigate to Settings >> Email Accounts.

  3. You can choose the Email Account to which you want to Add a Signature.

  4. Please be sure to look for the 'General Settings' option within that email account.

  5. You can scroll down the page to find the designated box where you can enter and customize your email signature.

Step 6️⃣ Setup Email Warmup

We have partnered with TrulyInbox, a specialized email warm-up service, to provide you with a better and more reliable solution.

TrulyInbox offers a free solution that allows you to connect unlimited email accounts, but you can start warming up your emails according to your plan details. This service will remain free for Saleshandy Paid users according to the Saleshandy Plan details.

🪜Steps to Follow For Email Warmup

  1. Log in to Trulyinbox.

  2. Add Email Account. (You can connect your ESP via SMTP/IMAP only.)

    1. Gmail

      1. Enable IMAP Settings

        1. On your computer, open Gmail.

        2. Click on Settings in the top right corner

        3. Click on See all settings

        4. Click the " Forwarding and POP/IMAP" tab

        5. In the " IMAP Access" section, select "Enable IMAP".

        6. Click Save Changes.

      2. Enable 2-Step Verification

        1. Open your Google Account and select Security in the navigation panel to enable it.

        2. Click GET STARTED

        3. It will prompt you to log in again.

        4. Set up your phone for Two Factor authentication.

        5. Enter the code you’ve received to your phone number to confirm.

        6. Once you’ve confirmed, click Turn On, 2-Factor Verification has been enabled now.

      3. Create an App Password

        1. Go back to the Security page https://myaccount.google.com/u/1/security and click on App passwords or Search App Passwords in the Search bar.

        2. To confirm your identity, you will be prompted to enter your password again.

        3. Under App and Device, select "Mail" for the App and "Other (Custom)" for the Device.

        4. For organizational purposes, you can name it "TrulyInbox" and then click on "Generate".

        5. An application-specific password will be automatically generated. Make sure to copy and save it in a secure location. Once you've copied the password, click on "DONE".

      4. Add a new SMTP account.

        1. Select 'Google' as a connection option.

        2. Add Email address & app password.

        3. Test your connections.

        4. Click on 'Connect & Save'.

    2. Microsoft

      1. Add Email Account

      2. Select Microsoft and click on sign in with the email and click on Next

      3. Enter Password

      4. That's it. You've successfully connected Microsoft Account for Email Warmup

    3. SMTP/IMAP

      1. Add Email Account

      2. Enter SMTP Details

        1. Choose an Email Service Provider from the below list.

          • Gmail/Gsuite

          • Office 365

          • Outlook.com/Hotmail.com/Live.com

          • Yahoo Mail

          • Zoho

          • GoDaddy

          • Yandex

        2. Enter Sender Name

        3. Enter Email Address

        4. Enter App Password

        5. Enter SMTP Host

        6. Enter SMTP Port

        7. Choose Encryption

        8. Click on Test SMTP Connection

      3. Enter IMAP Details

        1. You can use the same username and password from SMTP

        2. Enter Email Address

        3. Enter App Password

        4. Enter IMAP Host

        5. Enter IMAP Port

        6. Choose Encryption

        7. Click on Test IMAP Connection

      4. Click on Connect & Save.
