Pre-Warmed Mailboxes in Saleshandy

Buy pre-warmed domains and mailboxes inside Saleshandy.

Written by Pritesh Rajput

Hello there, Saleshandy users!

Pre-Warmed Mailboxes are ready-made domains with mailboxes that have already finished initial warm-up. You buy them directly inside Saleshandy. You can launch your cold email campaigns right after setup, keep your primary domain protected, and avoid waiting weeks to start sending.

This guide walks you through what Pre-Warmed Mailboxes are, their benefits, who should use them, pricing and billing breakdowns, provider comparisons, step-by-step purchasing instructions, customisation rules, and renewal policies.

What Are Pre-Warmed Mailboxes?

Pre-Warmed Mailboxes are domains and mailboxes registered in advance and warmed up before you buy them. Warm-up is a process of gradual sending that builds a mailbox's sending reputation. While traditional new mailboxes require several weeks of warm-up before cold outreach, pre-warmed mailboxes come with prior warm-up history so you can get started right away.

You select a provider and your preferred domains, customise sender names (and profile pictures for Google and Microsoft), and complete payment. After setup, the accounts connect automatically to your Saleshandy account and are ready to send.

  • Google or Microsoft: One domain with exactly 3 mailboxes.

  • Azure: One domain with exactly 50 mailboxes on one Azure tenant. A tenant is a separate workspace that holds the domain's mailboxes.

Each domain shows its prior warm-up duration so you can filter domains by how long they have been warmed up so far. You pay for mailboxes (or the Azure tenant) quarterly, and for the domain for almost once a year.

Benefits of Pre-Warmed Mailboxes

  • Skip the warm-up wait. Because mailboxes have been warmed up in advance, you can start your outreach right away after setup rather than waiting weeks.

  • Cold outreach stays off your primary domain. You send from generic secondary domains, keeping your brand domain's reputation completely safe.

  • Protection against domain blacklisting. Protect your main brand domain against blacklisting. Using generic secondary domains protects your main domain from security platforms that can flag and blacklist domain clusters based on lookalike patterns.

  • Filter by warm-up duration. Select domains based on how long they have been warmed up prior to purchase.

  • Provider flexibility. Choose between Google, Microsoft, or Azure.

Who Should Use Pre-Warmed Mailboxes?

Pre-Warmed Mailboxes are ideal for:

  • Teams wanting top domain reputation from day one: Launch campaigns with established sending trust right from the start.

  • Teams wanting to start campaigns immediately: Skip the multi-week warm-up wait period and begin outreach right away.

  • Teams open to using generic domains: Protect your main brand domain against blacklisting. Using generic secondary domains protects your main domain from security platforms that can flag and blacklist domain clusters based on lookalike patterns.

  • Teams needing rapid mailbox scaling: Add dozens or hundreds of mailboxes quickly.

Google and Microsoft vs Azure: Which Fits You?

  • Google or Microsoft is best if you need smaller groups of 3 mailboxes per domain using shared multi-tenant IP pools.

  • Azure is best if you’re looking for dedicated IPs. Each Azure domain includes 50 mailboxes on an isolated Azure tenant with a dedicated IP address, giving you strong deliverability trust when targeting Microsoft-heavy enterprise environments. You pay a single flat tenant fee per domain with no per-mailbox fee.

If you want to understand more about Azure, you can refer to Azure Email Infrastructure in Saleshandy.

What Do They Cost?

Pre-Warmed Mailboxes use the Quarterly plan for mailbox/infrastructure fees, while domain registration is billed per term (almost annually).

Note on Initial Domain Expiry: Domains are pre-registered in advance to build warm-up history before purchase. Therefore, your domain's 1-year registration cycle begins on its original registration date, not your purchase date. Your first annual domain renewal will occur less than 12 months from purchase (on the domain's original anniversary), and the last quarters bill will be pro-rated accordingly.

How to Buy Pre-Warmed Mailboxes

The purchase has four steps. A bar at the top of the page shows them: Pre-warmed Accounts, Customise Mailboxes, Contact Details, and Billing. You must complete each step before you can open the next one. You can go back to an earlier step at any time.

Before You Start

  • You need an active paid outreach plan. Only users with an active paid outreach plan can see the pre-warmed inventory. Other users see a message that asks them to upgrade their plan.

  • Stock can run out. If no pre-warmed accounts are available, the page shows Pre-warmed accounts are currently unavailable. Saleshandy can send you an email (if you opt in) when new stock is available. You can also click Connect New Email Accounts to set up other email accounts.

No pre-warmed accounts are available

Step 0: Start the Purchase

  1. Open the Email Accounts page.

  2. In the Pre-warmed Mailboxes card, click Connect Pre-warmed Accounts.

The Pre-warmed Mailboxes card on the Email Accounts page

Step 1: Select Your Domains

The Browse Pre-warmed Accounts page shows the domains that you can buy. Each card is one domain with all of its mailboxes.

  1. Select a provider: Google Workspace, Microsoft o365, or Azure. The page shows only the domains of that provider.

  2. To find domains, use these controls:

    • Search for Domain: type a part of a domain name.

    • Warm-up period: show only the domains that were warmed up for a given period. All shows all domains.

    • Select all loaded: add all the domains on the page to your cart. When all of them are selected, the button changes to Deselect all loaded.

  3. Click a domain card to select it. A tick shows on the card. Click the card again to remove it.

Each card shows:

  • The domain name, the ESP logo, and the warm-up period (for example, "2-4 weeks").

  • The mailboxes of the domain, with name and email address. The first mailbox has an Admin tag.

One provider per order. If your cart has domains and you select a different provider, the Discard your cart? pop-up opens. Click Discard to change the provider and empty your cart. Your names and pictures are also removed. Click Cancel to keep your cart.

Discard your cart?

Check Your Cart

A bar at the bottom of every step shows your cart: the number of domains and mailboxes, the setup cost (domain fees), and the cost per quarter. Click the cart summary to open the Cart.

The Cart has these sections:

  • Domains: each selected domain with its price. Click ✕ to remove a domain with all of its mailboxes.

  • Email Accounts: each mailbox with its name and email address. The Azure cart shows the first three mailboxes of each domain and the number of other mailboxes (for example, "+47 more mailboxes in …"). Azure mailboxes have no separate price.

  • Azure Tenants (Azure only): one tenant for each domain, at $90 per quarter.

At the bottom, the cart shows the totals, Clear all, and the button for the next step. Clear all empties the cart at once, with all names and pictures that you set.

Set Your Forwarding Domain

A forwarding domain is mandatory. When a person opens one of your new domains in a web browser, the browser goes to your forwarding domain. Use your main website (for example, mycompany.com). The forwarding domain does not change how your mailboxes send or receive email.

  1. On the Pre-warmed Accounts step, click Next. The Set Forwarding Domain pop-up opens. You can also click Set Forwarding Domain at the top right of the page at any time.

  2. Enter your domain with its extension, for example mycompany.com.

  3. Click Save. The message "Forwarding domain set successfully" shows, and the Customise Mailboxes step opens.

Save stays disabled until the domain is valid.

Set Forwarding Domain

Step 2: Customise Your Mailboxes

On this step, you decide how each mailbox shows to the people who get your emails. Each mailbox has a sender name and an email address. Google and Microsoft mailboxes also have a profile picture. Azure mailboxes do not support profile pictures. Every mailbox comes with its details already set. You can keep them or change them. For details, see Customising Your Mailboxes below.

When you are ready, click Next.

  • If you changed all mailboxes, the Contact Details step opens.

  • If some mailboxes still have their original details, the Continue without customising? pop-up opens. It tells you how many mailboxes you did not change. These mailboxes are ordered with their current sender names and email addresses (and profile pictures for Google and Microsoft). Click Continue to go to the next step. To go back and change them, close the pop-up with ✕.

Important: For Google and Microsoft mailboxes, you cannot change profile pictures after the purchase. Check them before you continue.

Step 3: Enter Your Contact Details

Saleshandy uses these details to buy the domains and email accounts for you.

Add Contact Details

When all required fields are complete, click Continue to Payment.

Step 4: Review and Pay

The Billing Summary pop-up opens.

  1. Check the amounts:

    • Domains (per year): $17 × number of domains.

    • Email Accounts (per quarter): for Google and Microsoft, $24 × number of mailboxes ($8 per mailbox per month × 3 months).

    • Azure Tenants (per quarter): for Azure, $90 × number of domains. There is one tenant for each domain. Azure mailboxes have no separate charge.

    • Total Amount to pay today: the domain fees plus the first quarter.

  2. Read the terms under By authorizing this payment, you agree that:. Then select I agree with all the above terms & conditions.

  3. Click Pay Now.

Billing Summary, Google Workspace

Billing Summary, Azure

The terms say:

  • Email accounts (Google and Microsoft) or Azure tenants (Azure) auto-renew every quarter. Each Azure tenant includes 50 mailboxes.

  • Mid-quarter deletions are non-refundable.

  • You cannot add more mailboxes to a domain or tenant after the purchase.

  • Mailbox credentials are not provided. This prevents multiple logins and IP or mailbox blocking.

  • Domains are registered in advance for warm-up. Your first domain renewal can come before the anniversary of your purchase.

After the payment, the message Payment successful shows. Saleshandy sets up your domains and mailboxes. They show on the Email Accounts page shortly. Your order shows under Billing & Subscription > Email Account Infrastructure.

Customising Your Mailboxes

The Customize Mailboxes page has a row of fields at the top, a Senders list, and one card for each domain in your cart. Each card lists the mailboxes of that domain. On an Azure card, click the arrow to open or close the card, and use the search box to find a mailbox by name or email address.

Note: Azure mailboxes do not support profile pictures. For Azure, the Customize Mailboxes page does not show any photo option. You can set sender names and email addresses only.

Customise Mailboxes

Add a Sender Name to Mailboxes

Use the row at the top of the page to give one name to many mailboxes at once.

  1. Photo (optional, Google and Microsoft only): click the round button to add a profile picture. Azure does not show this option.

  2. First name and Last name: enter the sender name. You must fill both names. For Google and Microsoft, to change only the picture, leave both names empty.

  3. Email address: click the domain button (for example, @All domains) and select the domains that get this name. All domains are selected by default.

  4. Quantity: select how many mailboxes on each selected domain get this name.

    • Google and Microsoft: 1, 2, or 3.

    • Azure: 10, 20, 30, 50, or Custom (max 50).

  5. Click Apply.

Saleshandy gives the name to the first mailboxes on each selected domain that still have their original name, from the top down. The first mailbox is the Admin mailbox. A line under the row tells you what will change before you click Apply, for example "Will rename 1 mailbox on 3 domains."

Saleshandy never replaces a name that you already set. If a domain does not have enough mailboxes with their original name, Apply is blocked and a message tells you how many are free, for example "Only 1 mailbox on example.com is still unassigned. Lower a sender's count in Senders to free more."

Customise Mailboxes, Google

Customise Mailboxes, Azure

Email Addresses

When Quantity is more than 1, Saleshandy creates the usernames for you. The username is made from the sender name. For the name John Smith, Saleshandy uses the first free option in this order: johnsmith, john.smith, smithjohn, jsmith, johns, john_smith, john-smith, smith.john, j.smith, john.s, js, smithj. When all of these are used on the domain, Saleshandy adds a number: johnsmith1, johnsmith2, and so on.

When Quantity is 1, you can type your own username. Leave it empty to let Saleshandy create it. The domain part of the email address cannot change.

A username can have up to 64 characters. Use only letters, numbers, dots (.), hyphens (-), and underscores (_). Each username must be unique on its domain.

Edit or Remove a Sender

After you apply a name, it shows in the Senders list. Each sender shows the number of mailboxes and domains that use the name.

  • To edit a sender, click the pencil icon. You can change the first and last name, the Quantity, the Domains, and the photo (Google and Microsoft only). Click Save. If you lower the quantity or clear a domain, those mailboxes get their original details back.

  • To remove a sender, click the trash icon. Saleshandy removes the name from all domains, and the mailboxes get their original details back.

After each change, a message with Undo shows for a few seconds. Click Undo to reverse the change.

Edit One Mailbox

  1. Click the pencil icon on a mailbox row.

  2. Change the First Name, Last Name, Username, or the profile picture (Google and Microsoft only).

  3. Click Save. To go back to the original details of the mailbox, click Restore original.

Profile Pictures

  • Profile pictures are available only for Google and Microsoft mailboxes. Azure mailboxes do not support profile pictures, so the photo option does not show for Azure.

  • Use a JPG, PNG file that is smaller than 1 MB. A 512 × 512 px headshot works best.

  • A picture that you add in the top row or in the Senders list goes to all mailboxes with that name.

  • You can change a name and keep the picture, or change the picture and keep the name.

Important: You cannot change a profile picture after the email accounts are created.

Upload profile picture pop-up

Important Rules

  • One provider per order. You cannot mix Google, Microsoft, and Azure domains in one cart. If you change the provider, the Discard your cart? pop-up opens.

  • Fixed mailbox counts. Google and Microsoft domains have 3 mailboxes. Azure domains have 50 mailboxes. You cannot add mailboxes to a domain.

  • Mandatory forwarding domain. You must set a forwarding domain before you customise mailboxes. It sends web visitors of your new domains to your website. It does not change how your mailboxes send or receive email.

  • Domain renewal follows the registration date. Domains are registered before you buy them, so that they can warm up. Your first domain renewal comes less than 12 months after your purchase.

  • No mailbox credentials. Saleshandy does not give you mailbox passwords. This prevents multiple logins and IP or mailbox blocking.

  • Profile pictures: Google and Microsoft only. Azure mailboxes do not support profile pictures. For Google and Microsoft, you cannot change a profile picture after the purchase.

  • Paid outreach plan required. Only users with an active paid outreach plan can see the pre-warmed inventory.

  • No refund. The first purchase and mid-quarter deletions are non-refundable.

Manage Your Order

After payment, your order shows under Billing & Subscription > Email Account Infrastructure, in the Purchase History table. Google, Microsoft, and Azure orders use the same screen.

Pre-warmed orders carry a Pre-warmed tag with a flame icon. On the Domains page, pre-warmed domains also show the Pre-warmed tag next to the domain name.

Billing and Renewal

How Billing Works

  • On the purchase date, you pay the domain fee for a year plus the first quarter of mailbox fees (Google or Microsoft) or the Azure tenant fee (Azure).

  • Every quarter, Saleshandy charges the mailbox or Azure tenant fee around the same day of the month as your purchase.

  • Once a year, the domain renews around its original registration date, not on your purchase date.

  • The last quarter before the domain renewal is pro-rated. You pay only for the days that are left until the domain renewal date.

Renew Your Domains

Saleshandy does not renew pre-warmed domains without your consent. You select the domains to renew and confirm once. Saleshandy then charges your card automatically on each selected domain's renewal date.

  1. Go to Billing & Subscription > Email Account Infrastructure.

  2. Find the order. Click Renew Now.

  3. The Renew Domains pop-up opens. All domains of the order are selected. Clear the checkbox of each domain that you do not want to renew now.

  4. Check the total at the bottom of the pop-up. Hover each part to see how it is calculated.

    • Domains: yearly domain price × number of selected domains.

    • Email Accounts (Q1): monthly mailbox price × mailboxes per domain × 3 months × number of selected domains. For Azure orders, this part is the Azure tenant fee for the first quarter.

  5. Click Renew Now.

Renew Domains

Note: Domain renewal prices can change. The prices shown in the image are examples and may not be the same when you renew. The Renew Domains pop-up shows the actual price before you confirm.

Domains that you do not select stay in the order. You can renew them later, before their own renewal date. Domains that you already renewed do not show again when you open Renew Now for that order.

If the Renewal Payment Fails

If the charge to your card fails, Saleshandy tells you. You can then pay manually from Billing & Subscription > Email Account Infrastructure.

What Happens When a Domain Expires

If you do not renew a domain before it expires:

  • All of its mailboxes stop sending and receiving email.

  • Active campaigns that use these mailboxes stop.

    • Saleshandy permanently deletes the domain and its mailboxes. You cannot recover them.

For more information, see Email Infrastructure — Renewal.

Why Is My Last Quarter Renewal Payment is Different?

Your mailbox fees follow your purchase date. Your domain renewal follows the date on which the domain was first registered. These two dates are not the same.

Before the domain renewal date, you pay a small pro-rated charge for the days that are left. On the domain renewal date, you pay the yearly domain fee plus the next full quarter. You never pay twice for the same period.

Example: the domain was registered on Jan 1, 2026. You bought it on Feb 15, 2026. The domain renewal date is Jan 1, 2027.

#

What you pay

1

Feb 15, 2026

2

3

4

5

Jan 1, 2027

Domain renewal date: yearly domain fee + next full quarter. Your quarterly cycle now restarts from Jan 1.

If the Last Period Is Shorter Than 30 Days

Sometimes fewer than 30 days are left between the end of a full quarter and the domain renewal date. In this case, Saleshandy does not make a separate small charge. It adds those days to that full quarter, and that quarter becomes your last quarter before the domain renewal.

This can happen when your domain was registered about 8 weeks or more before you bought it, for example when it was warmed up for around 8 weeks or more.

Your last quarter then covers 3 months plus the remaining days (0 to 30 days). At most, it covers about 4 months. You pay only for the days of service that you get. There is no extra charge.

Example: the domain was registered on Jan 1, 2026. You bought it on Mar 20, 2026. The domain renewal date is Jan 1, 2027.

FAQs

What are Pre-Warmed Mailboxes?

They are domains with mailboxes that were warmed up before you buy them. You can start your campaigns soon after setup.

Can I start sending campaigns immediately?

Yes. After setup, the mailboxes show on your Email Accounts page and can send at once. Warm-up continues to keep your sending health.

Can I mix Google, Microsoft, and Azure in one order?

No. Each order has one provider only. If you change the provider, Saleshandy asks you to discard your cart.

Do I have to set a forwarding domain?

Yes. You cannot go to the Customise Mailboxes step without it. It only redirects web visitors. It does not change how your mailboxes send or receive email.

Do I have to customise every mailbox?

No. Mailboxes that you do not change keep their original sender name, email address, and profile picture. Before you continue, Saleshandy shows how many mailboxes you did not change.

Can I give one name to many mailboxes?

Yes. Use the row at the top of the Customise Mailboxes page. Select the domains and the Quantity per domain, then click Apply. Saleshandy creates the usernames for you.

Can I change a profile picture after the purchase?

No. For Google and Microsoft mailboxes, profile pictures cannot be changed after the email accounts are created. Azure mailboxes do not have profile pictures.

Can I add profile pictures to Azure mailboxes?

No. Azure mailboxes do not support profile pictures. For Azure, the Customise Mailboxes page does not show the photo option. You can set sender names and email addresses only.

Do I pay per mailbox on Azure?

No. Each Azure domain includes 50 mailboxes on one Azure tenant. You pay the domain fee and the tenant fee.

Can I add extra mailboxes to a domain later?

No. Google and Microsoft domains have 3 mailboxes. Azure domains have 50 mailboxes. You cannot add more after the purchase.

Can I log in to the mailboxes directly?

No. Saleshandy does not give mailbox credentials. This prevents multiple logins and IP or mailbox blocking.

Will the domain last a full 365 days after purchase?

No. The domain was registered before you bought it. It renews on its original registration date, which is less than one year after your purchase. The last quarter before that date is pro-rated.

Can I renew only some domains of an order?

Yes. In the Renew Domains pop-up, clear the domains that you do not want to renew now. You can renew them later, before their own renewal date.
