🪜Steps to Follow

Step 1️⃣: Create your First Step📧✍️

You can also create your sequence with AI Sequence Copilot by clicking on Write with AI.

Click the 'Add Step' button, and an email template editor will open. 📧✨

In the editor, you can craft your email by adding a captivating subject line, a compelling pre-header, and a well-written email body. Personalization is key, so make sure to use Merge Tags from your list to tailor the message to each recipient. 🤝💼

To enhance deliverability and engagement, follow the guidance of the email assistant to reduce any elements that may trigger spam filters. For that extra touch of personalization, consider using a mix of merge tags and spintax to create unique variations of your message. 📩🔀

Step 2️⃣: Add Multiple Steps as follow-ups 👥📨

Boost your engagement by including Multiple Steps in your sequence. This increases the likelihood of getting a response from your prospects. Click the 'Add Step' button below the previously added step to add another step. 🚀🔀

You have the flexibility to set and customize the day of each step in your sequence, which is calculated from the sent date of the previous step added. This ensures that you can follow up with your prospects at the right time, maximizing your chances of a response.⏰

Set a wait for each step ⏳

At the bottom of the step editor, next to Start this step on Day, you'll find Wait for. Use it to add a wait in hours and minutes before the step runs. It works the same for email, LinkedIn, call, WhatsApp and task steps.

  • Step 1 of the sequence: the wait counts from the moment the sequence starts for a prospect. For example, a wait of 02:00 runs Step 1 two hours after the prospect enters the sequence.

  • First step of any other day: the wait counts from when that day begins.

  • Any other step on the same day: the wait counts from when the step above it is done. For LinkedIn, call, WhatsApp and task steps that you complete yourself, "done" means when the task is marked as completed. If a task is completed late, the steps after it run later too.

The text next to the field tells you what the wait counts from, for example "after the sequence starts", "after Day 3 begins" or "after Step 2 is done".

Leave it at 00 hrs : 00 mins if you don't need a wait. The step then runs just as it did before.

Waits and your sending schedule

Waits count on the clock, including at night and on weekends. Emails are still only sent inside your sequence schedule. If an email's wait ends while your schedule is closed, the email goes out as soon as the schedule opens again. Tasks for LinkedIn, call, WhatsApp and custom steps aren't held by the schedule. They show up in your Tasks tab as soon as their wait ends.

For example, your schedule runs 9:00 AM to 5:00 PM. Step 1 is done at 4:50 PM and Step 2 waits 30 mins, so it's due at 5:20 PM. If Step 2 is an email, it goes out at 9:00 AM the next morning. If it's a task, it shows up in your Tasks tab at 5:20 PM.

Changing a wait later

You can change a wait at any time, even after the sequence is active. The new wait also applies to prospects who are already waiting on that step. For example, if prospects are waiting 2 hrs on Step 2 and you change it to 10 mins, each of them moves to the new 10 min wait.

📝 Note: There's no minimum wait. Minutes go up to 59, and all the waits on one day can add up to 23 hrs 59 mins at most. You can still add only one email step per day. Use waits to space out your other steps around it.

In the Steps tab, each step shows a chip above it, such as No wait or Wait 1 hr 30 mins. Click the ✏️ pencil on the chip to change that wait without opening the step.

Move a step 🔀

You can move a step to another day or to a new position. Drag it in the Steps tab, or change Start this step on Day in the step editor. Two rules apply:

  • The step can't have any prospects in it yet. Once a prospect has been added to a step, that step stays where it is.

  • The step can't go above a step that already has prospects. It can only land below the last step that has prospects in it.

For example, Steps 1 to 3 have prospects and you've just added Step 4 and Step 5. You can swap Step 4 and Step 5, or move either one to another day after Step 3. You can't move either one in front of Step 1, 2 or 3. If a move isn't allowed, the step goes back to where it was and you'll see the message "Please first remove the prospects from the step".

A step keeps its own wait when you move it.

💡Pro-tip: To boost your response rate and increase the effectiveness of your outreach, consider including more than four follow-ups in your sequence. Consistent follow-ups demonstrate persistence and can significantly improve engagement. 📈💼

Step 3️⃣: Add Variants 🎭🔀

Measuring the effectiveness of personalized messages is important, and A/Z testing is the perfect tool for the job. With A/Z testing, you can experiment with up to 26 different variants to determine what resonates best with your prospects and drives their response.

To add another variant to your steps, click the 'Add Variants' button below each variant. Starting from variant A (the default variant), you can continue adding variants in alphabetical order (B, C, D, and so on). This allows you to test multiple approaches and identify the most impactful one. 🔄🔍

💡Pro-tip: Make the most of A/Z testing by experimenting with different subject lines, email body content, and compelling calls-to-action (CTAs). This way, you can precisely measure and optimize your email performance for maximum results. 📈🚀

Note: A/Z variants is not available for the Starter Plan members. If you'd like to know which plans include A/Z, you can chat with our team right now.

🚫Limitations of Sequences

You can add up to 26 email variants in a single step, allowing you to test different approaches and personalize your outreach. 📧🔀

However, it's important to note that the email-sending limits are determined by your Email Service Provider (ESP). Each ESP may have its set limit for the number of emails you can send within a specific timeframe. Be sure to check your ESP's guidelines and policies regarding email sending limits to ensure compliance and smooth email delivery. 📈📨

By understanding and adhering to your ESP's limits, you can effectively manage your email campaigns and maximize your outreach efforts. ✅💼

FAQ's (Frequently Asked Questions)

Can I send the first email a few hours after a prospect is added, instead of right away?

Yes. Open Step 1 and set Wait for, for example 02 hrs : 00 mins. Step 1 will then go out two hours after the sequence starts for each prospect, as long as that's inside your sending schedule.

What's the difference between the Day and the Wait?

The Day picks which day of the sequence the step runs on. The Wait adds hours and minutes inside that day, counted from the step above it (or from when the day begins for the day's first step).

Can I add two email steps on the same day?

No. Each day can have only one email step. You can add LinkedIn, call, WhatsApp and task steps on the same day and space them out with waits.

Can I change a wait after the sequence is active?

Yes. Open the step, or click the ✏️ pencil on the wait chip, and save the new wait. Prospects already waiting on that step move to the new wait too.

What is the difference Between an Email Campaign and a Sequence?

At Saleshandy, What you're calling Sequence is actually an Email Campaign. i.e., Sequence = Email Campaign

In the mail, I tell them I will contact you in 3 months; some people reply with no thanks, so they don't need to be in the sequence anymore; some people reply with: ok, that's fine. So, they need to continue in the sequence.

In this case, you can manually filter and mark them as Finish and stop further steps for them.

When someone replies to a sequence, will the sequence continue?

Yes, when someone replies, the sequence will stop for them. To whichever step they respond to, later steps/follow-up will be terminated for those prospects. By default, the safety setting is turned on, which is considered the prospect as finished if a reply is received.

You can turn the option off if you want them to receive the remaining emails. Another way you can do this is to create a new sequence with those prospects

Attached is a Snippet for your reference:

How to set up Step 2 for a sequence to send only to those who opened?

You can apply the "open but not clicked" filter and remove the prospects that should not receive the email for step 2.

Mission accomplished; you've successfully created your Email Sequences. 👏

Wishing you a delightful experience! ❤️

Happy Selling. 🤝
