How to Make Calls from Sequences and Tasks?

Learn how to execute call tasks directly from the Task Module, Dialer, and other places in Saleshandy, without switching to an external calling tool.

Hello there, Saleshandy users!

Saleshandy Dialer is integrated across multiple parts of the platform. This means you can initiate calls from wherever you are working, whether that is your task list, the Dialer module, or a prospect's detail page.

Where You Can Initiate Calls From

Saleshandy lets you start a call from three different places:

Task Module: The primary place to execute all call tasks. All call tasks — whether created from a sequence or manually — are listed here.

Dialer Module — For manual calls using the "Make a Call" button. Dial any number or search for an existing prospect.

Prospect’s Detail Page — Make a call directly from a prospect's detail page.

How to Make a Call from the Task Module

The Task Module is where all your pending call tasks appear, regardless of where they were created from. Call tasks come from two sources:

  • Sequence call steps — Automatically created when a prospect reaches a call step in a sequence.

  • Prospect profile (CRM) — Manually created call tasks added directly from a prospect's record.

Regardless of where the task was created, you execute it the same way:

  1. Go to Tasks in the left sidebar

  2. Find the call task you want to complete

  3. Click on the task to open the Task Detail Sidebar

The Source column in your call logs shows where each call originated, whether it came from a sequence, a prospect's profile, or was created manually.

How to Make a Manual Call from the Dialer Module

For calls that are not linked to any task:

  1. Go to Dialer in the left sidebar

  2. Click Make a Call

  3. In the pop-up, choose one of two tabs:

Keypad tab — Type any phone number manually. The country code defaults to +1 (US). Change it using the country code dropdown if needed.

Prospects tab — Search for an existing prospect by name or phone number. Click on a prospect row to call them immediately.

  1. Check the Call Via section to confirm which number will be used for the call. If you have multiple numbers assigned, use the dropdown to select a different one.

  2. Click Call

How to Make a Call from the Prospect’s Detail Page

  1. Go to the CRM module and click on the prospects

  2. Prospect’s detail page will open

  3. Click the Call button that is placed below the prospect’s name

  4. The Active Call Window opens, and the call begins

What Happens During the Call

Once the call connects, the Active Call Window appears with the following controls:

  • Mute — Toggle your microphone on or off during the call.

  • Hold — Pause and resume the call.

  • Recording — Toggle recording on or off. If auto-recording is enabled for your number, this starts automatically when the call connects.

  • Notes — Type notes in real time while on the call. These carry over automatically to the Call Completion Modal when the call ends.

  • Voicemail Drop — If the prospect does not answer and a voicemail greeting is detected, click the voicemail button, select a voicemail template, and the pre-recorded message is dropped. The call disconnects automatically after the voicemail is sent.

What Happens After the Call

When a call ends, the Call Completion Modal appears. This is where you log everything before moving on.

The modal shows:

  • Prospect name and phone number

  • Call duration

  • Which number was used for the call

From here you can:

  • Log a call outcome — Select from predefined outcomes or any custom outcomes your team has created.

  • Review and edit notes — Notes typed during the call appear here. You can edit, add to, or format them before saving.

  • Access recording and transcription — If recording was enabled, the audio and transcript appear here shortly after the call ends.

  • View AI Summary — An AI-generated summary of the call appears with two sections: Key Discussion Points and Actionable Items.

How to Add a Follow-Up Task After a Call

Navigate to ‘Dialer’ and to ‘Call logs’.

Click on any previous call, and you’ll see:

At the bottom of the Call Completion Modal:

  1. Click Add Follow-up Task

  2. A task creation modal opens

  3. Select the task type: Call, LinkedIn, WhatsApp, or Custom

  1. Set the details and due date

  2. Click Save

The follow-up task is added to your Task Module and linked to the prospect.

How to Mark a Prospect as Do Not Call

If a prospect asks not to be called again:

  1. Open the Call Log Detail Page for that call

  2. Click Do Not Call in the Prospect Profile section

This will:

  • Change the call outcome to "Do Not Call"

  • Remove the prospect from all future call tasks

  • Prevent them from being added to any new calling steps

The prospect can still receive emails unless they are also unsubscribed from email outreach.

What to Do if the Prospect's Number is Not Linked to a Contact

If you make or receive a call from a number that is not connected to any prospect in Saleshandy, the Call Completion Modal will show two options:

Add Prospect — Fill in the prospect's details. Email is required. The call log is then linked to the new prospect.

Link to Existing Prospect — Select an existing prospect from the dropdown. The phone number is linked to their profile with the type set to Work by default.

Things to Keep in Mind

  • If you close the browser tab during an active call, the call will disconnect immediately.

  • Mute, Hold, Recording and Voicemail drop controls are disabled until the call is connected.

  • If your microphone permission is blocked, a banner appears at the top of the dialer asking you to fix it before you can call.

  • If you have no active phone number assigned to your account, you will not be able to make calls. Contact your admin to get a number assigned.

  • Manual calls made from the Dialer module appear in Call Logs with the source listed as "Manual Call."

FAQs

Where do call tasks from sequences appear — in the sequence or the Task Module?

When a prospect reaches a call step in a sequence, a call task is automatically created in the Task Module. You execute the call from there, not from the sequence view directly.

Can I call a prospect who is not part of any sequence?

Yes. You can manually dial any number from the Dialer module using the Keypad tab, or search for an existing prospect using the Prospects tab — no sequence required.

What happens if I close the browser tab during an active call?

The call disconnects immediately. Make sure to keep the Saleshandy tab open for the entire duration of the call to avoid unexpected disconnections.

Can I add notes while I'm still on the call, or only after it ends?

You can type notes in real time during the call using the Notes section in the Active Call Window. These notes are automatically carried over to the Call Completion Modal when the call ends.

What if I have no phone number assigned to my account?

You won't be able to make calls. A tooltip on the Call button will say: "You need an active phone number to make calls." Contact your admin to get a number assigned to your account.

Can I use the same phone number as another team member to make a call?

No. Each phone number can only be used by one team member at a time. If a number is currently assigned to someone else, you cannot make calls from it.

What is the difference between "Complete Task" and "Snooze for Later" in the Call Completion Modal?

Complete Task marks the call task as done and moves the prospect to the next step in the sequence. Snooze for Later keeps the task open and reschedules it so it appears again at a later time.

If I make a call from the Dialer module (not from a task), how is the source logged?

Calls made using the "Make a Call" button from the Dialer module are logged with the source as "Manual Call" in your call logs.

What if the number I called is not linked to any prospect in Saleshandy?

After the call ends, the Call Completion Modal gives you two options: Add Prospect (fill in their details and link the call log to a new contact) or Link to Existing Prospect (connect the number to a prospect already in your account).

Can I create a follow-up task immediately after a call?

Yes. The Call Completion Modal has an "Add Follow-up Task" option at the bottom. You can create a Call, LinkedIn, WhatsApp, or Custom task right there, and it gets added to your Task Module linked to that prospect.
