What Happens When a Prospect Reaches the LinkedIn Automation Step?

When a prospect reaches the LinkedIn Automation step in your sequence, Saleshandy creates a task and attempts to push that prospect to the campaign you've selected on Aimfox or HeyReach. Here's exactly what happens β€” and what to do when it doesn't go as expected.

How the Prospect Push Works

Successful push

When everything is in order:

  • Prospect is sent to Aimfox or HeyReach

  • Added to the campaign selected during step setup

  • Task marked as Complete in Saleshandy

  • Prospect moves to the next step in the sequence (if any)

You can confirm this from the prospect's Activity Timeline β€” every successful push is logged there with a timestamp.

Failed push

The task is marked as Failed. The prospect stays on this step and does not move forward in the sequence.

You'll see the specific error so you know exactly what went wrong. Common reasons a push fails:

Missing required field

The prospect doesn't have the required field(s) in their Saleshandy profile

Invalid API key

The API key used to connect to Aimfox or HeyReach has expired or is incorrect

Campaign deleted

The campaign no longer exists on the platform

Already in another campaign

The prospect is already active in a different campaign on the same platform

Invalid LinkedIn URL

The LinkedIn URL of the prospect is not valid

Retrying a failed push

  1. Go to Tasks from the left navigation bar

  2. Click the Failed tab

  3. Find the prospect and review the error

  4. Fix the issue

  5. Click Retry

You do not need to restart the sequence. The prospect will be retried from the step they're currently on.

How Campaign Status Affects the Push

Paused / Completed campaign

  • Aimfox: Prospects will be added, but outreach will not start until you manually activate the campaign from Aimfox

  • HeyReach: Prospects will be added, and the campaign will automatically activate once a prospect is pushed

If prospects are added but no outreach is happening, check the campaign status on the platform side.

Full campaign (Aimfox)

New prospects sent from Saleshandy won't be processed, and the task will fail. Either increase the campaign limit in your platform, or select a different active campaign in the step settings and retry.

Deleted campaign

If the campaign no longer exists on the platform, any prospect who reaches this step will fail with an error.

To fix this:

  1. Go to the LinkedIn Automation step in your Sequence Builder

  2. Edit the step and select an active campaign

  3. Go to Tasks β†’ Failed tab and retry the affected prospects

FAQs

Invalid or expired API key?

If your API key is revoked on the platform side, all subsequent pushes will fail.

To fix this:

Go to Aimfox or HeyReach β†’ Settings β†’ API Keys

Generate a new key

Update it in your Saleshandy step connection, OR

Go to Tasks β†’ Failed tab and retry

Prospect not moving forward?

A prospect stays on the LinkedIn Automation step only when the push has failed. They will not move to the next step until the push goes through successfully or you manually intervene.

Check Tasks β†’ Failed tab for the error, fix it, and retry.
