What is the LinkedIn Automation Step and How to Set It Up in Saleshandy

What is the LinkedIn Automation Step?

The LinkedIn Automation step is a step type in Saleshandy's Sequence Builder that automatically pushes your prospects into a LinkedIn outreach campaign created in Aimfox or HeyReach, directly from your sequence.

When a prospect reaches this step, Saleshandy sends them to your connected platform and adds them to the campaign you've selected. The LinkedIn outreach runs from there.

How Is It Different From the Existing LinkedIn Steps?

Saleshandy already has LinkedIn steps: Connection Request, Message, InMail, View Profile, and Post Interaction.

The LinkedIn Automation step automates the action. No manual work needed once it's set up.

Before You Start

Make sure you have the following ready:

1. An active account on Aimfox or HeyReach: Saleshandy connects to Aimfox or HeyReach and pushes your prospects there. You need an active paid plan on at least one of these platforms, with at least one campaign already created.

2. LinkedIn URLs for your prospects: Aimfox and HeyReach use the LinkedIn URL to find the prospect on LinkedIn. If a prospect doesn't have a LinkedIn URL in their Saleshandy profile, the push will fail for that prospect.

3. Your API key from Aimfox or HeyReach: You'll need this to connect your account during setup. Find it in your platform's account settings under API Keys or Integrations. Generate a new one if you don't have one already.

How to Add a LinkedIn Automation Step to Your Sequence

Step 1 β€” Open your Sequence Builder

Go to Sequences from the left navigation. Open the sequence you want to add this step to, then go to the Steps tab.

Step 2 β€” Add a new step

Click + Add Step. From the step type options, select LinkedIn Automation.

Step 3 β€” Choose Your Platform

You'll see three options: Aimfox, HeyReach, and Request a new tool.

Select your platform. A few things to know here:

  • Platform is selected per step, not per sequence

  • You can mix Aimfox and HeyReach steps in the same sequence

  • Once you save this step, you cannot change the platform β€” if you need to switch, you'll have to delete the step and re-add it (only possible if no prospect is currently on that step)

Step 4 β€” Connect Your Account (first time only)

Enter your API key and click Connect. This is a one-time setup. Once connected, your account stays saved, you won't need to reconnect for future steps or sequences.

Step 5 β€” Select a Campaign

Pick the campaign where you want prospects to be added. You'll see:

  • Campaign name

  • Status (Active, Paused, etc.)

Two things to watch here for Aimfox:

  • If the campaign is Paused or Completed (inactive) β€” prospects will be added, but outreach will start only after the campaign is activated

  • If the campaign has reached its audience limit (Full) β€” new prospects will not be added or processed

Step 6 β€” Map Your Fields (first time only)

Match your Saleshandy fields to the fields in your LinkedIn tool. For example:

  • First Name β†’ First Name

  • LinkedIn URL β†’ LinkedIn URL

This is a one-time setup and stays saved for future steps. However, the mapping can be changed later, if required.

Step 7 β€” Set the Step Interval

Define how many days after the previous step this step should run. This works the same as any other step in your sequence.

Your LinkedIn Automation step is now live. Any prospect who reaches this step will automatically be pushed to your selected campaign.

What Happens After a Prospect Reaches This Step?

If the push goes through successfully:

  • Prospect is sent to Aimfox or HeyReach

  • Added to the selected campaign

  • Task marked as Complete in Saleshandy

  • Prospect moves to the next step in the sequence (if any)

If something goes wrong:

  • Task is marked as Failed

  • Prospect stays on this step and does not move forward

  • You'll see the specific error β€” e.g. missing LinkedIn URL, invalid API key, campaign deleted, prospect already in another campaign

  • You get a Retry option for your sequence in the Failed tab β€” no need to restart the sequence

Where to Track Push Status

Tasks β†’ Failed tab: A new Failed tab in the Tasks module shows all LinkedIn push failures with the error reason.

Tasks β†’ Completed Tab: All successfully pushed prospect tasks are listed here.

Prospect Detail Page β†’ LinkedIn Automation tab: Shows the campaign name, current push status, and any errors for that specific prospect.

Activity Timeline Logs every push attempt β€” success or failure β€” with a timestamp.

Managing Failed Pushes

  1. Go to Tasks from the left navigation

  2. Click the Failed tab

  3. Review the error for each failed prospect

  4. Fix the issue (e.g. add a missing LinkedIn URL, update an expired API key)

  5. Click Retry

You don't need to restart the sequence. The prospect will be retried from where they stopped.

Where do I go when a push fails?

Go to Tasks from the left navigation bar β†’ click the Failed tab. You'll see the specific error for each failed prospect. Fix the issue and click Retry. You do not need to restart the sequence.

A prospect is missing a LinkedIn URL. How do I fix it?

Open the prospect's detail page and add their LinkedIn URL to the profile. Once added, go to Tasks β†’ Failed tab and retry the task.

My API key isn't connecting or has stopped working mid-sequence. What do I do?

Make sure you copied the full key with no extra spaces. If it's still not working, go to:

Aimfox: HeyReach > Settings > API key

HeyReach: HeyReach > Settings > Integrations > API key

Generate a new key, update it in your Saleshandy step connection, and retry the failed tasks from Tasks β†’ Failed tab.

My campaign is paused, but prospects aren't being reached out. Why?

Prospects will still be added to a paused campaign, but outreach won't begin until you resume it. Log in to Aimfox and resume the campaign from the platform side.

My campaign is full in Aimfox. What happens to the prospects being pushed?

New prospects won't be processed, and the task will fail. Either increase the campaign limit on the platform or edit the step, select a different active campaign, and retry from Tasks β†’ Failed tab.

The campaign I selected was deleted from Aimfox or HeyReach. What happens now?

Any prospect reaching this step will fail. Go to the LinkedIn Automation step in your Sequence Builder, edit it, select an active campaign, and retry the failed tasks from Tasks β†’ Failed tab.

A prospect is stuck on this step and isn't moving forward. Why?

A prospect only stays on this step when the push has failed. Check Tasks β†’ Failed tab for the error, fix it, and click Retry.

A prospect was already in another campaign. What does that mean?

This means the prospect already exists as an active contact in a different campaign on the same platform. The push was blocked to avoid a conflict. You'll need to either remove the prospect from the existing campaign on Aimfox first, or decide not to push them again.
