Instant Clarity: See your entire outreach pipeline at a glance, with no more endless scrolling through rows.
Track Progress Visually: Prospects move across columns (stages) as conversations progress, so you always know where things stand.
Stay Focused: Quickly spot who's stuck, who's hot, and who needs a nudge, without digging through data.
How to Switch to Kanban View
Steps to Follow:
Step 1️⃣: Go to the CRM (Prospects) Module
Click on CRM in the left sidebar. You'll see two sub-menus:
List View
Kanban View
Step 2️⃣: Switch to Kanban View
Click on the Kanban toggle at the top of the Prospects page. You'll see your prospects reorganized into a board layout with columns representing different stages.
💡 Tip: You can switch between List and Kanban views anytime. The transition is instant, and your data stays the same.
How to Create a New Kanban View
Step 1️⃣: Click the Add (+) Icon
In the top bar of the Kanban view, you'll see your existing views listed as tabs (e.g., "All Prospects", "B2B SaaS", etc.). Click the + (Add) icon next to them.
Step 2️⃣: Name Your View & Set Sharing Scope
A prompt will appear asking you to:
Name your view: By default, it'll be named something like "New View - 14th October | 11:04". You can rename it to anything that fits your workflow (e.g., "Startup Founders", "Hot Leads Q1").
Choose who can see it: Select from:
Private - Only you can see this view
Everyone - All team members can access it
Team - Only your specific team can access it
Step 3️⃣: Apply Filters
After saving the view name, you'll be prompted to add filters to define which prospects appear in this view.
For example, you could filter by:
Company Industry = "SaaS"
Country = "United States"
Deal Value > $1,000
Once you apply the filters, your new Kanban view is created! 🎉
Note: You can also create advanced filter logic when you want prospects to meet specific combinations of requirements. For this, use And/Or conditions by clicking
"Add Group".
Suppose you want to see prospects who match either of these conditions:
Group 1:
Company Industry = “SaaS”
Country = “United States”
Group 2 (AND):
Deal Value > $5,000
Prospect Status = “Interested”
If you select “Or”, prospects will appear if they match either Group 1 or Group 2.
If a prospect does not match any group, it will not appear in the results.
This means the prospect does not meet your selected criteria.
If no prospects are shown, try removing some filters or using fields that have updated data. You can add as many Groups as you want!
How to Customize Your Kanban Board?
Once your view is created, you can customize it further to match your workflow.
🎨 Edit Card Fields (What Shows on Each Card)
By default, each prospect card shows: Prospect Name, Company Name, Deal Value, Closing Date, and Sequence Name.
Want to change what's displayed?
1. Click Edit Card in the top-right area of the Kanban view.
2. A modal opens with three sections:
Available Fields - All fields you can add to cards
Selected Fields - Fields currently shown on cards
Card Preview - A live preview that updates as you add/remove fields
3. Move fields between Available and Selected to customize your cards.
4. Save your changes.
Note that you can select up to a maximum of five fields.
⚠️ Important: Card field settings are saved per view. Changing card fields in one view won't affect your other views.
🔀 Reorder Columns
Simply drag and drop the stage columns themselves to reorder them on the board.
🎨 Change Column Colors
Right-click or use the column menu to change the background color of any column - great for visual cues!
👁️ Hide/Show Columns
Don't need a particular stage visible? You can hide columns from the board. For System Categories (like Prospect Outcome), you can hide columns but can't rename or add new ones.
For Custom Categories, you have full control - rename, add, reorder, hide, and change colors.
How to Use Your Kanban Board?
🖱️ Drag & Drop Prospects Between Stages
As conversations progress, simply drag a prospect card from one column to another. The prospect's stage updates automatically.
⚠️ Note: If a prospect is not part of any sequence, they cannot be moved across columns in System Categories (Prospect Outcome, Prospect Status, Call Outcome).
You'll see a tooltip: "This prospect is not part of any sequence, so its column can't be updated from here."
⚠️ Note: Prospects cannot be manually moved when categorized by Prospect Status or Call Outcome, as these update automatically based on system activity.
🔍 Search & Filter
Search by Prospect Name or Email using the search bar at the top.
Filter to narrow down your board further - click the Filter icon to add or edit conditions.
Sort your Kanban by Prospect Name, Company Name, Last Updated, Creation Date, Deal Value, Closing Date, and more.
⚡ Quick Actions on Cards
Hover over any prospect card to see quick action icons:
✏️ Edit - Edit card details in a modal (fields like name, company, deal value, etc.)
📝 Note - Quickly add a note to the prospect
📞 Call - Open the dialer (only visible if a phone number exists)
✅ Task - View the next 3 upcoming tasks or create a new one
How Kanban Customizations Work Across Your Team
Here's a quick breakdown of what's personal vs. shared:
Customization | Who It Affects |
Category selection (which category you group by) | Just you - each user sees their own choice |
Column color, order, visibility | Everyone on the account who has access to that view |
Card fields (what fields show on cards) | Everyone on the account, but per view - View 1 and View 2 are independent |
Frequently Asked Questions (FAQs)
Q: Can I have both List and Kanban views of the same data?
Yes! When you create a Kanban view, a corresponding List view is automatically generated (and vice versa). You can toggle between them anytime.
Q: Is there a limit to how many Kanban views I can create?
No fixed limit - create as many views as you need for different segments, campaigns, or team members.
Q: Will my existing prospect data be affected?
Not at all. Your data stays exactly the same. Kanban is simply a new way to visualize and interact with it.
Q: Can I add new columns directly from the Kanban board?
Yes - but only for Custom Categories. After the last column on the right, you'll see an "Add New Column" button. The new column is also added as a dropdown value in the associated custom field.
Q: What's the "Unassigned" column?
Prospects that don't have a value for the selected "Categorize By" field land in the Unassigned column. You can drag them into other columns to assign them. This column cannot be hidden.
