Ever opened a prospect's profile and thought, "Wait, what was the last thing we talked about?" or "Did someone on my team already follow up?"

With Saleshandy CRM's Prospect Detail Page, those questions are gone for good. Every email, reply, note, task, call, and sequence activity lives in one place, so you always have full context before taking the next step.

Let's walk through how it all works! πŸš€

How to Open the Prospect Detail Page

Click on any prospect's name - from the List view, Kanban card, Sequence Prospect tab, or search results.

A detail panel opens up (taking about 80% of your screen), with two sections:

  • Left Panel - Prospect profile, stats, and editable fields

  • Right Panel - Activity tabs (Activity, Emails, Notes, Tasks, Sequences, and more)

πŸ’‘ Tip: Use the Next and Previous buttons at the top left to quickly move between prospects without going back to the list.

The Profile Section (Left Panel)

The left panel gives you a quick snapshot of who this prospect is and how your outreach is performing.

What You'll See:

  • Prospect Info - Name, position, company, social links, and tags

  • Quick Actions - Add Notes, Make a Call, Compose Email, Add Task, Add to Sequence, Add Tag

  • Engagement Stats - Emails sent, opened, clicked, replied, and calls made

  • Prospect Fields - All fields with inline editing (click to edit right there)

πŸ“Œ Pin Your Most Important Fields

You can pin fields so they always appear at the top of the fields list. By default, these fields are pinned: Email, Phone Number, Sequence Associated, Company Website, and Last Updated.

To pin/unpin: Click the pin icon next to any field.

πŸ’‘ Tip: Use the search box to quickly find a specific field when you have lots of custom fields.

Activity Tab - The Unified Timeline

This is the heart of the Prospect Detail Page. The Activity Tab shows a single, chronological timeline of everything that's happened with this prospect.

What Shows Up in the Timeline:

The timeline captures three types of activities, and you can filter by each type:

1️⃣ User Activity (Actions by You or Your Team)

These are things your team members do manually:

  • Emails sent (1:1 and sequence)

  • Notes added, edited, or deleted

  • Tasks created, skipped, snoozed, or completed

  • Calls made and call outcomes updated

  • Prospect added to sequence or removed

  • Prospect paused/resumed in a sequence

  • Kanban column updated (stage changed)

  • Prospect fields updated

  • Prospect marked as unsubscribed, replied, bounced, or finished

2️⃣ Prospect Engagement (Actions by the Prospect)

These are triggered by the prospect's behavior:

  • Emails opened

  • Links clicked

  • Replies received

  • Prospect unsubscribed or resubscribed

3️⃣ System Activity (Automatic Events)

These are triggered by the system automatically:

  • Emails sent (from sequences)

  • Email bounced or failed

  • Primary email changed by the system

  • Email verification status updated

πŸ” Filtering the Timeline

Use the activity type filter at the top of the timeline to show only what you need:

  • User Activity - See only your team's actions

  • Prospect Engagement - See only what the prospect did

  • System Activity - See only automated system events

Clickable Activities

Many timeline entries are clickable and will redirect you to the relevant tab. For example:

  • Clicking an email activity takes you to that email thread in the Emails tab

  • Clicking a note activity takes you to that note in the Notes tab

  • Clicking a task activity takes you to that task in the Tasks tab

  • Clicking a sequence name takes you to that sequence

Emails Tab - All Email Conversations in One Place

The Emails tab shows every email interaction with this prospect, both sequence emails and 1:1 emails you send manually.

What You Can Do:

βœ‰οΈ Compose a New Email

Click "Send Email" to compose and send a 1:1 email directly to the prospect. If you have multiple connected email accounts, choose which one to send from using the "From" dropdown.

⚠️ Important: When you send a 1:1 email, make sure you have "Track External Email Replies" enabled in your settings. Otherwise, you won't receive replies for your 1:1 emails. If it's not enabled, you'll see a prompt to turn it on.

πŸ’¬ Reply & Forward

Open any email thread and hit Reply or Forward to continue the conversation right from the CRM.

πŸ“ Auto-Saved Drafts

If you start composing an email and close the window without sending, your content is automatically saved as a draft. When you click "Send Email" again, the draft loads right back up.

  • New emails: One draft per team member per prospect

  • Replies: Drafts are saved per thread - each conversation keeps its own draft separately

πŸ—‘οΈ Delete Emails

Admins and Owners can delete emails from threads.

Notes Tab - Keep Context Alive

The Notes tab is where you and your team can log important context about a prospect - meeting takeaways, observations, reminders, or anything useful for the next touchpoint.

How to Create a Note

Step 1️⃣: Click "Add Note"

Hit the "Add Note" button at the top of the Notes tab.

Step 2️⃣: Write Your Note

The note editor supports rich text - bold, italics, bullet points, links, and attachments.

Step 3️⃣: Choose Visibility - Public or Private

  • 🌐 Public - Everyone on your team can see this note, and it appears in the Activity timeline

  • πŸ”’ Private - Only you can see it. However, if you @mention a teammate, they'll be able to see it too

You can change visibility later - switch a private note to public or vice versa anytime.

Step 4️⃣: Save

Notes save automatically. If you close the tab before saving a new note, it's saved as a draft and loads back when you return.

Type @ followed by a team member's name to mention them in a note. They'll receive a notification:

Tasks Tab - Never Miss a Follow-Up

The Tasks tab shows all tasks related to this prospect - whether created from a sequence or added manually.

Task Types Available:

  • πŸ“ž Call - Schedule a call with the prospect

  • πŸ’Ό LinkedIn - LinkedIn outreach tasks

  • πŸ“± WhatsApp - WhatsApp follow-up tasks

  • ✏️ Manual/Custom - Any custom task you define

How to Create a Task

Step 1️⃣: Click "Add Task"

Hit the "Add Task" button at the top of the Tasks tab.

Step 2️⃣: Fill in Task Details

  • Choose the task type (Call, LinkedIn, WhatsApp, Manual)

  • Set a title, due date, priority, and assignee

  • Add any relevant notes or description

πŸ’‘ Pro Tip: Check the "Mark as complete" checkbox while creating a task to instantly log it as done. This is great for recording tasks you've already completed (like a call you just made).

Step 3️⃣: Save

Your task is created and appears in the Tasks tab.

Managing Tasks

For each task, you can:

  • βœ… Mark as Complete - Mark the task as done

  • ⏭️ Skip - Skip this task

  • ⏰ Snooze - Postpone the task to a later date/time

Filtering Tasks

Use the status filter to view tasks by:

  • Due Today - Tasks due right now

  • Upcoming - Future tasks

  • Completed - Done tasks

  • Skipped - Tasks you've skipped

  • Snoozed - Tasks postponed for later

πŸ”— Shareable Task Links

Expand any task card to see its full details and a shareable link. Copy and share this link with teammates; clicking it opens the prospect's Task tab directly to that specific task.

Calls Tab - Call Logs at a Glance

The Calls tab inside your Tasks tab shows a log of all phone call interactions with the prospect.

Sequences Tab - See All Sequence Enrollments

The Sequences tab shows every sequence the prospect is currently part of or has completed.

What Each Card Shows:

  • Sequence name

  • Current step in the sequence

  • Prospect outcome

  • Latest status

  • Last updated timestamp

Actions You Can Take:

For each sequence, you can:

  • βœ… Mark as Replied - Manually mark the prospect as replied

  • ➑️ Move to Step - Jump the prospect to a different step in the sequence

  • πŸ—‘οΈ Remove from Sequence - Take the prospect out of this sequence

  • 🏁 Mark as Finished - Mark the sequence as finished for this prospect


All Fields Tab: Every Data Point in One Place

The All Fields tab lists every single field associated with the prospect - system fields and custom fields alike.

You can edit any field right from here, and the changes reflect everywhere (profile section, cards, etc.).

Frequently Asked Questions (FAQs)

Q: Can I see activities from all team members, or just mine?

You can see activities from all team members who have interacted with the prospect. The timeline is unified across your entire team.

Q: What's the difference between Public and Private notes?

Public notes are visible to everyone on your team. Private notes are only visible to you (and anyone you @mention in the note).

Q: Can I create tasks that are not linked to any sequence?

Yes! Tasks created from the Prospect Detail Page are independent and not tied to any sequence. They appear in both the Tasks tab here and in the main Tasks module (under "CRM" source).

Q: Will my old activity data show up in the new timeline?

Activities from before the CRM launch will appear as "Legacy Activities" in the timeline. They'll have the same content but may look slightly different in styling. Activity type filters won't apply to legacy activities.

Q: How do email drafts work?

For new emails, only one draft is allowed per team member per prospect. For replies, drafts are saved per thread. If you close the compose window, your draft is auto-saved and reloads next time.

Q: Who can delete emails?

Only Admins and Account Owners can delete emails from threads.

Q: Can I add a prospect to a sequence from the detail page?

Yes! Use the "Add to Sequence" quick action in the profile section (left panel) to enroll the prospect in a sequence directly.
