Fixing Microsoft Email Delivery Issues: How to Whitelist IP Addresses

We've noticed that some of your emails have been caught in Microsoft's spam filters lately. Microsoft is cracking down hard to prevent spam, and while we know our users respect their recipients’ preferences, this might still impact your outreach.

Don’t worry—we’ve got your back! Follow this simple guide to ensure that your emails reach their destination without a hitch.


Why Is This Happening?

Microsoft's security updates are blocking emails from certain IP addresses, including ours, to prevent spam. But because our users take precautions and never pester uninterested recipients, we want to make sure your efforts aren’t disrupted.

Here’s What We’ll Do:

We’ll guide you through:

  1. Whitelisting Saleshandy’s IPs in Microsoft 365 Defender.

  2. Setting up a Custom Tracking Domain to boost your deliverability.

  3. Verifying your SPF, DKIM, and DMARC to keep your sender reputation strong.

Step 1: Log into the Microsoft 365 Admin Center

  1. Head to security.microsoft.com and log in with your admin account.

  2. Go to the Microsoft 365 Defender portal from the left menu.

Step 2: Update Email Security Settings

  • In the Defender portal, select Policies & Rules > Threat Policies.

  • Click on Anti-Spam settings.

Step 3: Whitelist Our IPs

  • Find the Connection Filter policy and click Edit.

  • Click on Connection filter policy.

  • Input the IP addresses provided by Saleshandy in the first box:

Step 4: Set Up a Custom Tracking Domain (Highly Recommended! 🚀)

A custom tracking domain improves deliverability and helps your emails look more trustworthy:

  1. Log into your Saleshandy account.

  2. Go to Settings > Custom Tracking Domain.

  3. Follow the instructions to add the CNAME record to your domain's DNS.

  4. Verify the setup—and you’re ready to send!

Step 5: Verify Your SPF, DKIM, and DMARC

Make sure your domain's SPF, DKIM, and DMARC records are properly configured. This helps Microsoft know that your emails are legit, not spammy.

Step 6: Test It Out

  1. Send a test email to a Microsoft-based email address (e.g., Outlook.com).

  2. Check if it lands in the inbox—success!

  3. If you’re still seeing issues, reach out to our support team for help.
