We have introduced Enhanced Reply Tracking in the Unified Inbox to improve the accuracy and coverage of reply tracking.
What is Enhanced Reply Tracking and Why is it Important?
Sometimes, a prospect (recipient) forwards your email to another relevant person, who then replies from their email address. In such cases, discrepancies in reply tracking can occur because the reply address differs from the recipient's original address.
Similarly, recipients may choose to create a new thread instead of replying within the same thread, leading to such emails being missed in the unified inbox.
Additionally, discrepancies in reply tracking can arise when the sending address and the "reply-to" address are different.
With this update, the Unified Inbox will now track all relevant replies, minimizing the chances of discrepancies or missed conversations. This ensures you get the maximum value from your outreach efforts.
FAQ: Reply Tracking in Saleshandy Unified Inbox
1. Replies from Existing Prospects
We track replies from any existing prospect, even if they are not part of a sequence. If a prospect already exists in Saleshandy and replies to any email, that email thread will appear in the Unified Inbox—even if the conversation wasn't initiated through a Saleshandy sequence.
Example: If [email protected] is already in your Saleshandy account, all emails from [email protected] will be visible in Saleshandy. This includes replies to emails sent directly from your inbox.
2. Replies from the Same Domain as the Prospect
Replies from anyone with the same domain as your saved prospect will also be tracked. This includes replies from a different person or if the original prospect has left the company.
Example: If [email protected] is saved as a prospect, emails from anyone with the domain @saleshandy.com will appear in the Unified Inbox.Note: You can disable domain-based tracking in the admin settings if preferred.
3. What Happens When I Receive a New Email from an Existing Prospect?
If an existing prospect in your Saleshandy account sends a new email, it will appear in the Unified Inbox. This ensures all communication with your prospect is centralized.
Example: If [email protected] is a prospect in Saleshandy but hasn’t responded to your sequence emails, and they email you directly after connecting on LinkedIn, that email will still be tracked.
4. Replies with Multiple Recipients in CC
If you send an email with multiple recipients, any reply will appear as an External Email in the Unified Inbox. If your prospect replies keeping other recipients in CC, all replies from anyone in the thread will appear in the Unified Inbox. If a recipient/CC is not already present in your Saleshandy account, they will also be added as a new prospect
Example: If you add [email protected] to an email, and [email protected] is in CC, any replies from [email protected] or [email protected] will appear in the Unified Inbox.
Replies in the same thread stay within the original thread.
Replies starting a new conversation will appear as a new thread.
5. What Happens If a Prospect Forwards My Email to Someone Within the Same Domain?
If a prospect forwards your email to someone else within the same domain and they reply to your email, that person will be created as a new prospect and tracked.
Example: If [email protected] forwards your email to [email protected], [email protected] will become a new prospect, and their responses will show in the Unified Inbox.
6. What Happens When a Prospect's Email is Forwarded Outside the Original Domain?
If a prospect forwards your email to someone outside their domain, replies from that external contact will appear in the Unified Inbox. The external contact will also be added as a new prospect.
Example: If [email protected] forwards an email to [email protected], replies from [email protected] will appear in the Unified Inbox, and Amit will be added as a prospect.
7. How Does Enhanced Reply Tracking Handle External Recipients?
If a prospect includes external recipients in an email conversation, those recipients are created as new prospects in your Saleshandy account if they are not already present.
Example: If a prospect adds [email protected] to an email thread, [email protected] will be created as a new prospect, and their replies will be tracked.
8. Can I Customize How Domain Matching Works?
Yes, domain matching can be controlled in admin settings:
Enabled: All conversations with matching domains are tracked.
Disabled: Only exact email matches are tracked, and domain-based conversations are ignored.
9. How Do I Know Which Conversation/Reply is Received by the Prospect in the Sequence or an External Recipient?
Every email conversation or reply in the Unified Inbox is clearly tagged to help you identify its origin. Replies from prospects not part of a Saleshandy sequence are specifically tagged, as “External Reply.”
This distinction ensures that you can easily recognize and separate external conversations from your sequence-related replies. It helps maintain clarity when managing multiple threads within the Unified Inbox.
10. Can I See/Filter Replies from My Sequences and External Replies Separately?
Yes, you can filter replies from sequences and external replies separately. Click on “Filters” in the Unified Inbox to choose between replies from sequences or external recipients.
You can also use additional filters like:
Sequence
Sequence Owner
Email Account
Dates
This helps you easily narrow down and manage your replies.

11. What Happens If I Don’t Want to Track Replies from Recipients with the Same Domain as My Prospect?
You can control this via the admin settings. If you prefer not to track replies from recipients with the same domain as your prospect, you can disable domain-based tracking. Additionally, you can choose to disable "Track External Replies" to prevent tracking any replies that aren't directly from Saleshandy sequences.

Thread Management for Clarity
Replies from external recipients within the same email thread will be grouped into the existing thread. If you receive a new email from an existing prospect, it will appear as a separate thread in the Unified Inbox.
