What are Custom Merge Tags(Custom Fields)?

Custom Merge Tags (Custom Fields) refer to the variables that can be defined and tailored to match the specific data present in the CSV file for each contact, such as their {{First Name}}, {{Last Name}}, {{Company}}, and other relevant information.

These placeholders act as containers for the contact data, allowing for more personalized and targeted outreach.

Note: In the Prospect field, there are fields that are present by default these fields are called "System fields," and those that the users make up as per specific needs are called "Custom Fields".

Why Custom Merge Tags(Custom Fields)?

  • Custom Merge Tags(Custom Fields) add a personal touch to emails, making them more relevant and engaging to recipients. They allow for tailored messages with specific recipient data like name, company, and location.

  • Custom Merge Tags(Custom Fields) help make your emails more personalized, increasing the likelihood of your recipients engaging with your content and increasing your open & reply rates.

How to Create Custom (Merge Tag/Prospect) Fields?

In Saleshandy, you will have many system fields by default, so if you only intend to use these variables in your sequence, you may not need to create new Custom Merge Tags(Custom Fields). However, if you need a field you cannot find in the system field, you can create Custom Fields.

🪜Steps to Follow

1️⃣ Log into your SalesHandy account, navigate to the settings tab, and click the Prospect Fields tab.

2️⃣ Click on Add Prospect Fields, and create the Custom Field.

3️⃣ Enter the Field Name, Field Type, and Fallback Text (Optional) from the pop-up, then click Save.

You need to choose the type of custom field while creating one. For example, the custom field could either be a text type (such as Company) or a number (such as Phone).

Additionally, a 'Fallback Text' can be added to a custom field (variable) when a value is missing for a particular field. To learn more about Fallback Text, Click here.

Once a custom field is created, there will be two options: Edit and Delete.

  • Edit will allow you to edit the name of the custom field.

  • Delete will allow you to delete the custom field altogether.

How to Use Custom Fields in the Sequences?

Once you have created your desired custom fields, adding them to your sequence is easy.

Follow these steps:

  1. To add/use custom fields in your cold emails, you first need to navigate to the Prospects Tab and import the CSV file containing your prospect data. It's crucial to ensure that the CSV file has the same fields as the column headers you want to include in your email.

  2. After uploading the file, you can map all the fields from your CSV, and your custom fields will automatically appear.

  3. To personalize your email content with custom fields, you can insert variables in the email subject line and the body. This allows you to add specific custom field data for each contact, making your emails more targeted and effective.

When the sequence sends the emails, the system automatically picks the data for each contact from the uploaded file and sends personalized emails to each prospect.

  • Ensure that you close your custom fields accurately to reflect the relevant data in your email.

  • Choose the appropriate field type for the data type you want to send, such as text for textual information and numbers for numerical data.

  • Additionally, setting up the necessary fields to personalize your email and avoid cluttering your message with excessive fields is important.

  • To avoid sending blank custom fields, always set up the fallback text as a precautionary measure.

  • Ensure your CSV file's column headings correspond to the custom fields you want to add to your content.

  • Finally, sending yourself a test email to check if your custom fields are working is essential before sending out the final email to your contact list.

Why did my emails not populate the correct data from custom fields?

You might have chosen the wrong field type if your custom fields did not populate the correct data. Use text type for text and numerical type for numbers. Additionally, you should check in the prospect tab if the data is accurately propagated. You can do that by going to the prospect tab and checking for each prospect.
