How to Complete Compliance (KYC) Verification for Indian Numbers

Learn how to submit your business documents for Indian phone number compliance, what each verification status means, and how to manage compliance applications over time.

Written by Malav

Hello, Saleshandy users!

Indian telecom regulations require businesses to verify their identity before renting local Indian phone numbers. Saleshandy handles this through a one-time compliance (KYC) application per business entity. Once approved, you can rent as many Indian numbers as you need under that application. This guide covers submitting your application, understanding your status, and managing applications afterward.

Where to Find Compliance

Head to the Dialer module → Phone Numbers. Alongside the "Phone Numbers" tab, you'll see a Compliance tab. This is where every compliance application on your account lives.

The table shows:

Column

What It Shows

Application Name

The name you gave the application when submitting it

Country

Flag + country name (India at launch)

Number Type

Local (the only type at launch)

Documents

Badges for each document type uploaded — COI, GST Certificate

Applied Date

Date and time of submission. Click the column header to sort ascending/descending

Verification Status

A coloured status badge — hover for details (see below)

Actions

A trash icon to delete the application, where allowed

A toolbar above the table lets you search by application name and filter by status (All / Approved / Pending / Rejected / Suspended / Expired).

Submitting a New Application

Click Add Compliance (or Submit new application, if you're prompted from the purchase flow) to open the form:

  1. Compliance Application Name — required. Saleshandy suggests a default name when you're creating a new one, but feel free to rename it to something recognizable, like "Saleshandy Direct" or "Mumbai Branch."

  2. Business Registration (COI) — upload your Certificate of Incorporation or Udyam Registration Certificate. Accepts PDF, JPG, or PNG, up to 5 MB.

  3. GST Certificate — same file rules apply.

Each file upload shows a drag-and-drop prompt when empty, and once uploaded, displays the filename with a "Successfully uploaded" confirmation and an option to remove it.

The Submit Application button stays disabled until you've given the application a name. Once submitted, your application moves into Approval Pending, and you'll be notified by email when a decision is made.

Understanding Verification Statuses

Each application carries one of five statuses, shown as a coloured badge with a hover tooltip:

Status

What It Means

Approval Pending

Submitted and under review. Typically ~15 minutes.

Approved

KYC verified — you can now rent Indian numbers under this application.

Rejected

Documents need correction. Check the rejection email and resubmit.

Suspended

Restricted due to a compliance violation (see below for how this happens).

Expired

Approval has expired. Resubmit your application to continue renting Indian numbers.

One nuance worth knowing: if a complaint is filed against your application (a UCC — Unsolicited Commercial Communication — complaint), your status doesn't jump straight to Suspended. There's a grace period to submit proof of consent first. That full escalation path is covered in a separate article on compliance violations, since it affects your existing numbers, not just new purchases.

Clicking any row opens a slide-in drawer with the application's details: its name, country, and verification status, plus a rejection reason if it was rejected, or violation details and a proof-submission option if it's in a suspended or complaint stage. Your originally submitted COI and GST Certificate are also available here to download.

Deleting a Compliance Application

Each row has a trash icon, but whether you can actually delete an application depends on its status:

  • You can delete a Rejected or Expired application anytime, or an Approved application as long as at least one other approved application remains on your account.

  • You can't delete an application that's Pending or Suspended, or an Approved application if it's the only approved one on your account — Saleshandy requires at least one approved application to keep renting India numbers.

If the Application Has Numbers Linked to It

If the application has no phone numbers registered under it, deleting it is straightforward — just confirm and it's removed. If it does have numbers linked, Saleshandy asks you to re-link them to another approved application first, then completes the deletion. If you don't have another approved application to move those numbers to, deletion is blocked until you get one approved.

Email Notifications

You'll get an email any time your compliance status changes to Approved or Rejected:

  • Approved: "Your compliance application '{{Application Name}}' has been approved" — confirms you can now rent Indian numbers under it.

  • Rejected: "Your compliance application '{{Application Name}}' was not approved" — explains that corrections are needed before resubmitting.

FAQs

Do I need a separate compliance application for every Indian number I buy?

No. One approved application covers all Indian numbers you register under it. You only need a new application if you're registering under a different business entity or want to organize numbers by location/brand.

How long does approval take?

Typically around 15 minutes.

What happens if my only approved application gets suspended?

You won't be able to rent new Indian numbers until it's restored or another application is approved. Numbers already linked to it may also face calling restrictions — see our guide on compliance violations for the full escalation path.

Can I delete a compliance application that still has numbers on it?

Only if you have another approved application to re-link those numbers to. If it's your only approved application, deletion is blocked until you get a replacement approved.

What file types can I upload for COI and GST Certificate?

PDF, JPG, or PNG, up to 5 MB per file.

Why does the Compliance Application column on my Phone Numbers table matter?

It shows which compliance application each Indian number is registered under. If that application later becomes suspended or expired, calls from linked numbers may be restricted — the column is your quickest way to spot which numbers are affected.
