What is Long Text Custom Field in Saleshandy?

Long Text is a custom field type in Saleshandy that allows you to add personalized text inputs of up to 10,000 characters. This is particularly useful for you if you need to import and manage detailed prospect information, including:

  • Personalized email introductions

  • Personalized email body

  • LinkedIn summaries

  • Call transcripts

  • CRM notes from platforms like HubSpot

With Long Text, you can now retain large volumes of text within Saleshandy, making your workflow smoother and more efficient.


How to Add a Long Text Custom Field in Saleshandy

Adding a Long Text custom field is simple. Follow these steps:

Step 1: Navigate to Prospect Fields in Settings

  • Log in to your Saleshandy account.

  • Navigate to Prospect Fields in Settings

  • Go to Custom Fields. A Long Text Custom Field >> Prospect Overview will be available in the Custom Field by default.

  • You can add more long text fields as per your requirement

Step 2: Create a New Long Text Custom Field

  • Click on "Add Prospect Field" in the Prospect field

  • Enter the name of the field. In the field type dropdown, select "Long Text".

  • Enter fallback text in case there is a missing value for any prospect, this text will be automatically added.

  • Click Save to create the field.

Step 3: Using Long Text in Prospect Data

Once the custom field is created, you can:

  • Use in CSV Imports: For a smooth import process, it's recommended to have a column in your CSV with the same name as the Prospect field you created earlier.​


    During import, map the relevant Long text column that you imported to the Long Text field.

    The text will appear in the email editor exactly as it is in the CSV column, without any rich text formatting (Bold, Italics, etc).

  • Edit & Input Data: To add or edit the long text when manually adding a prospect, open a prospect’s profile and enter details in the Long Text field.

    Important 📢Rich text formatting (bold, italics, bullet points, links) is not supported in Long Text fields while importing from CSV and while manually adding the prospect.

    You need to add HTML code in the Long text column as per your desired formatting to be able to do that.

  • Filter Prospects: In the Prospect tab to filter with a Long text Field, simply select the name of the field and add further the filter whose values is not empty.

  • Merge Tags in Emails:

    Once you have followed the above steps, add the long text in your email copy.

    Insert the Long Text field into the email editor like the other merge tags for personalization. You can see how your long text will appear in the email preview as shown below.

Step 4: Managing Long Text Data

  • Editing: Click on the Long text field in the Prospect Data Table or Prospect Profile to update values. You can expand the editing column by clicking on the bottom right of the column.

  • API/Webhooks: Long Text is now supported in API imports, exports, and webhook notifications.


Key Considerations

While Long Text is a powerful feature, there are some limitations you should be aware of:

  • Character Limit: Each Long Text field can store up to 10,000 characters, but exceeding this will result in loss of data while uploading.

  • Formatting Restrictions: Rich text formatting (bold, italics, bullet points, links) is not supported in Long Text fields.

  • Merge Tag Display: When using Long Text as a merge tag in email sequences, ensure the text remains concise to maintain email readability.

  • Limited Filtering Options: Currently, filtering capabilities for Long Text fields are limited to "is empty" and "is not empty" conditions.

  • Default Field: One Long Text Custom Field will be added to your Prospect Field by default. Named as Prospect Overview.


Problems Before Long Text

Before the introduction of Long Text, you faced several challenges when managing detailed prospect data:

  1. Character Limit Restriction: Saleshandy previously supported only up to 1,000 characters in system and custom fields, making it difficult to store longer notes.

  2. Data Loss During Import: If you tried to import text fields exceeding 1,000 characters, the additional content would fail to import.

  3. Limited Editing & Filtering Options: Custom fields did not support multi-line text input, restricting you from making edits conveniently.

With Long Text, Saleshandy now resolves these limitations, enabling you to store and manage extensive text data seamlessly.

FAQ

  1. Can I use Long Text fields in email personalization?

Yes, you can insert Long Text fields as merge tags in your email sequences. However, keep in mind that excessive text might affect email readability.

2. Can I apply advanced filters to Long Text fields?

Currently, filtering is limited to checking whether the field is empty or not. Advanced keyword-based filtering is not yet available.

3. Will Long Text fields be included in CSV imports?

Yes, all Long Text fields will be imported in CSV files without any loss of data if the character limit is not crossed.

4. Can I format text in Long Text fields?

No, rich text formatting is not supported. Only plain text is stored in Long Text fields.
