Understanding Prospect Status: How It Helps You Work Smarter

When managing hundreds or thousands of prospects, it’s crucial to know where each prospect stands: are they actively receiving emails, paused, due to limits, or have they completed your sequence?

Understanding prospect statuses helps you:

  • Focus your efforts on the right ones

  • Avoid wasting time sending emails to unreachable contacts.

  • Keep your outreach strategy clean, efficient, and scalable

But sometimes, terms like “Active” or “Completed” can be confusing, so here’s a simple breakdown of what each one means inside your Saleshandy sequences.

Earlier, everything felt like “Active,” even when it wasn’t. Whether a sequence was paused, completed, or never started, the status still showed as "Active"—confusing, indeed.

Now, with more accurate status, you can quickly spot:

  • Who’s actively getting emails

  • Who’s done with their sequence and more

Understanding Prospect Statuses in Saleshandy

To help you manage your outreach more effectively, we’ve introduced and refined several prospect status—including Active, Inactive, Completed.

These status are now visible across different parts of your dashboard so you can quickly understand where each prospect stands and take the right next steps.

🧭 Where can you see these statuses?

  1. Prospect Tab: You can see the latest Status in the Prospect tab.

You can now filter your prospects by status (Example -InactiveCompleted) in all relevant views.

This makes it easier to segment and act on specific groups, such as reactivating completed ones or activating the new prospects.

2. Tile Cards on the Sequence Prospect Page: Each of these status—Inactive, Completed, now has its own tile card on the prospect list inside a sequence.

3. Sequence associated Columns: These status also appear in the “Sequence Associated” section in the prospect column when you customize your table view. You can now add them as visible columns to quickly assess each prospect's status at a glance.

🔍 New Prospect Statuses: What They Mean & How They Work

To give you more control and visibility over your outreach, we’ve refined how prospect statuses are assigned, displayed, and updated throughout your Saleshandy experience.

Here’s a handy table that gives you the status, what it means, and when it applies:

Status

What It Means

Active

Prospect is currently running in a sequence, and steps are being executed.

Inactive

Prospect isn’t in any running sequence. Could be paused, disconnected, or just imported.

Completed

All steps in the sequence were executed. No further actions remain.

Bounced

The email to the prospect couldn't be delivered, likely due to an invalid address or server rejection.

Replied

Prospect replied to an email from the sequence.

Unsubscribed

Prospect opted out via the unsubscribe link in the email.

Paused

Prospect’s participation in the sequence is on hold—either manually paused or due to a trigger.

Below is a breakdown of what each status means and how it behaves across the platform:

✅ Completed Status

When all steps in a prospect’s sequence are successfully finished, their status is automatically marked as

Completed.

How it works:

  • Even if the sequence steps are later deleted, the prospect remains in Completed status.

  • If new steps are added to a completed sequence, their status may change to Active or Inactive, depending on whether the sequence is active at that time.

🚫 Inactive Status

A prospect is marked Inactive when they are not part of any active sequence.

Common scenarios:

  • If you import a prospect but don’t add them to a sequence, they will remain Inactive by default.

  • If a prospect is part of a paused or disconnected sequence, they’ll also be shown as Inactive.

  • If an inactive or completed prospect replies, bounces, or unsubscribes, their status will update accordingly.

⏳ Waiting Status(Coming soon)

Waiting status is assigned when you try to add more prospects to a sequence than your current active prospect limit allows.

What happens:

  • When your sequence reaches its active prospect limit, any additional prospects go into a Waiting state.

  • As active slots become available (for example, when another prospect completes or is paused), prospects in Waiting will automatically be moved to Active.


📌 Status Rules & Filters

  • Always the Latest Status
    If a prospect is part of multiple sequences, their status in the Prospect tab will reflect the most recent sequence they were added to, only if no filters are applied.

    However, if you apply a filter (e.g., "Completed"), the system will:

    • Show the prospect if they match that status in any of their sequences.

    • Even if their most recent sequence shows a different status.

    Example:

    • Prospect A was part of Sequence 1 (Completed), and later added to Sequence 2 (Active).

    • In the Prospect tab:

      • Default view (no filters): Status will show as Active (from Sequence 2).

      • Completed filter applied: Prospect A will still appear, because they completed Sequence 1.

  • You’ll now find all status, including Active, Inactive, Completed, Unsubscribed, Bounced, Replied, Finished, and Paused—available in the sequence > prospect tab filters.

  • The "Finished" status has now been added to filters.


⚙️ Status in Exports

  • When you export prospects from a sequence, their status (including 'Inactive', and 'Completed') will be included in the export file.


📘 FAQ: Prospect Statuses in Saleshandy

1. Why are there new prospect statuses?

Earlier, most prospects looked “Active” even if they weren’t actually receiving emails. These new statuses bring clarity and control, so you know which prospects are receiving emails and which have been completed.

2. What are the new and updated statuses, and what do they mean?

Active

Prospect is currently receiving emails from an active sequence.

Inactive

Prospect isn’t in any active sequence—could be paused, disconnected, or just imported.

Completed

All steps in the sequence were completed successfully.

Waiting(Coming soon)

Prospect is queued for activation but can’t start due to your plan’s active prospect limit.

Paused

Prospect was manually paused or paused due to a rule/trigger.

Replied

Prospect has replied to one of your sequence emails.

Bounced

Email couldn’t be delivered (invalid address or server issue).

Unsubscribed

Prospect opted out by clicking the unsubscribe link.

Finished

(If applicable in your system) Sequence or flow marked as fully closed/completed.

3. Where can I see these statuses?

  • Prospect Tab: Shows the latest status based on the most recent sequence.

  • Filter Options: All statuses (Active, Inactive, Completed, etc.) are now available in sequence > prospect tab filters.

  • Tile Cards: Inside a sequence, each status now has its own tile for better segmentation.

  • Table Columns: You can customize table columns to display the status directly.

4. What happens if I edit a completed sequence?

If you add a new step to a sequence that was already marked Completed:

  • The prospect’s status may update to Active or Inactive, based on whether the sequence itself is active.

5. Can a prospect’s status change due to replies or bounces?

Yes. Even if a prospect is marked Inactive or Completed, their status will change if they:

  • Reply

  • Bounce

  • Unsubscribe

6. How are status handled in exports and API?

  • When exporting, Inactive and Completed statuses are included.

  • API users can now retrieve these statuses via the Saleshandy Open API.

7. What if my prospect is in multiple sequences?

If a prospect is part of multiple sequences, the latest sequence determines their displayed status.
